Summary

We are seeking a highly organized, detail-oriented Program Manager (Contract) to support the Global Brand & Channel Marketing team. This individual will serve as the operational backbone of the organization, driving project intake, prioritization, resource management, and execution across a broad portfolio of marketing initiatives.

Key Responsibilities Project & Workflow Management
  • Serve as the owner and administrator of team project management platforms, including
  • Act as the primary point of contact for project intake, workflow management, and project prioritization.
  • Monitor and manage project requests to ensure projects are appropriately scoped, assigned, and executed.
  • Track project progress and proactively identify risks, bottlenecks, and resource constraints.
  • Coordinate project timelines across multiple stakeholders, affiliates, and cross-functional teams.
  • Ensure effective resource allocation and prioritization across competing business needs.
Process Optimization
  • Develop and maintain Standard Operating Procedures (SOPs) for  workflows and project management processes.
  • Continuously identify and implement opportunities to improve operational efficiency and team effectiveness.
  • Establish consistent project intake, tracking, and reporting methodologies.
Vendor & Financial Management
  • Manage the Statement of Work (SOW) process from initiation through execution using the Ariba procurement system.
  • Partner with internal stakeholders and vendors to ensure timely completion of required documentation.
  • Track and manage invoice processing to ensure timely payment and budget accuracy.
  • Maintain visibility into project-related expenditures and contractual commitments.
Review & Approval Coordination
  • Monitor project intake forms for completeness and accuracy.
  • Assign projects to appropriate owners and ensure all required information is captured upfront.
  • Follow up with reviewers and stakeholders to help ensure timely approvals and project progression.
Asset & Lifecycle Management
  • Manage renewal timelines for promotional and advertising materials according to established SOPs.
  • Coordinate milestone tracking and stakeholder communications for upcoming launches, events, and key deliverables.
  • Upload and maintain marketing assets within EP Institute (Big Tin Can ) asset hosting platform.
  • Ensure asset libraries remain organized, current, and accessible.
Reporting & Communications
  • Develop, track, and report on operational and communication plan metrics.
  • Create dashboards and reports that provide visibility into project status, workload, throughput, and performance.
  • Facilitate regular project updates and stakeholder communications.
  • Support leadership with operational insights and recommendations based on project data and trends.
Qualifications Required Experience
  • 5+ years of experience in Program Management, Project Management, Marketing Operations, Traffic Management, or a related field.
  • Demonstrated experience managing complex, cross-functional projects through the full project lifecycle.
  • Experience working with project management platforms such as , Workfront, Jira, or similar tools.
  • Experience coordinating multiple stakeholders across matrixed organizations.
  • Experience managing budgets, SOWs, purchase orders, invoices, or procurement-related processes.

  • Strong understanding of project management methodologies, tools, and best practices.

  • Proven ability to deliver projects on scope, on budget, and on timeline.

Preferred Qualifications
  • Experience supporting marketing, communications, or commercial organizations.
  • Experience working within regulated industries such as medical device, healthcare, pharmaceuticals, or life sciences.
  • Experience with Ariba procurement systems.
  • Advanced proficiency in
  • Experience developing reporting dashboards and workflow processes.
Education
  • Bachelor's degree in Business, Marketing, Communications, Project Management, or a related field preferred.
  • Equivalent combination of education and relevant experience will be considered
