Job SummaryAs an integral member of the Disciple Development team, the Administrative Coordinator serves as the first point of contact for parishioners and guests who seek to learn more about faith formation opportunities n Neumann. The Coordinator reports to the Director of Disciple Development and helps extend the ministries of the youth, middle, high‑school, and adult ministry evangelists by fulfilling crucial responsibilities, including managing registrations, coordinating ministry events, and assisting with volunteer recruitment, faith formation programs, and other tasks as assigned.
EssentialJob Duties
- Manage registrations and maintain accurate attendance records for catechesis and sacramental preparation through the Ministry Platform (including youth and adult programs, First Reconciliation, First Holy Communion, High School Confirmation, Adult Confirmation, and OCIA).
- Gather necessary documentation and update sacramental records in partnership with the Parish Experience Coordinator for those participating in faith formation programs at the parish.
- Coordinate Disciple Development classes, events, retreats, and Vacation Bible School, partnering with members of the Discipleship, Business Operations, and Parish Experience Teams to provide seamless execution.
- Schedule reservation of meeting spaces on campus through E‑Space.
- Review website content quarterly for accuracy and coordinate necessary updates with ministry and communications team members.
- Publicize events using existing tools, including Ministry Platform and e‑Catholic Web design.
- Support youth and adult ministers in recruiting, training, and celebrating volunteer core team members and catechists.
- Serve as one of the EIM (Ethics and Integrity in Ministry) site administrators for the parish, monitoring and facilitating EIM compliance for Disciple Development volunteers.
- Participate fully in team meetings and functions, as an integral member of the Disciple Development Team.
- Provide general office and administrative support, including research, e‑mail communications, newsletters, nametags, attendance sheets, etc.
- Help the children’s youth minister prepare spaces and materials for Sunday morning Children’s Faith Formation, Children’s Liturgy of the Word, Wednesday evening Family Faith Nights, and Friday evening Family Fun Nights.
- Serve, at times, as a substitute catechist in the classroom.
- Assist with Vacation Bible School, specifically in the areas of registration, volunteer coordination/management, training, ordering supplies, and support the Children’s Youth Ministry Evangelist with any VBS tasks required.
- Other responsibilities as assigned by the Director of Disciple Development.
- This position is a full‑time hourly role that requires the ability to work at the parish on Sundays from 8:30 a.m. – 12:30 p.m. and until 7:30 p.m. on Wednesday evenings during the school year. Some additional weekend and evening hours to support retreats and special events may also be required.
