Veterinary Client Patient Coordinator - Neurology, AVES

Join Our Growing Team at Austin Veterinary Emergency and Specialty Center (AVES). We are hiring for multiple technician and assistant roles across departments, including Neurology, to provide high-quality patient care in a fast-paced, collaborative environment at our new 45,000 sq. ft. hospital.

Position: Client Patient Coordinator (CPC) – Neurology

Overview

Client Patient Coordinators play a vital role in ensuring seamless, high-quality care for patients throughout their referral journey. They serve as a key liaison between clients, referring veterinarians, and internal medical teams, helping to coordinate care with empathy, efficiency, and accuracy.

Primary Responsibilities

  • Manage and coordinate daily appointment schedules for doctors, ensuring efficient use of time and smooth workflow
  • Answer and return client phone calls promptly, addressing questions, concerns, and follow-up needs with professionalism and compassion
  • Monitor and respond to client emails; confirm upcoming appointments and provide necessary instructions
  • Provide outstanding client service while supporting a “Fear Free” environment for patients and their owners
  • Maintain clear, organized communication with clients, referring veterinarians, and internal medical teams
  • Assist practitioners by handling administrative tasks, allowing doctors to focus on medical care
  • Support patient care by preparing medical records, confirming referral documentation, and ensuring all required information is available ahead of appointments
  • Demonstrate strong multitasking and time management skills in a fast-paced clinical setting
  • Approach all tasks with a positive, solution-oriented attitude, going the extra mile to support clients and the care team
  • Collaborate closely with specialists and support staff to improve workflow and patient outcomes
  • Uphold confidentiality, professionalism, and attention to detail in all aspects of the role

Requirements

  • High School Diploma or equivalent
  • At least 2 years of experience in a customer service role
  • At least 2 years of experience in a veterinary role, dedicated to providing outstanding client service and excellent patient care within an emergency or specialty hospital (preferred)
  • Team-oriented with a positive work environment focus
  • Adaptability and willingness to go the extra mile for the best patient and client experience
  • Fluent English (speaking & reading); multilingualism is a plus
