What we actually run - read this before applyingSix campaigns, each a product line sold into a facility type
Every campaign is phone-led. Email does not replace the call it multiplies it. With 20 callers covering several hundred accounts and growing, our reps highest-value work is winning new accounts. Email is how we keep the existing base growing at the same time.
The problem you're being hired to solveA hospital is not one customer its four or five buying centres. One facility may have the operating room buying one of our lines, imaging buying a second, sterile processing a target for a third, and every department a candidate for a fourth. Five campaigns, four departments, six contacts.
Today those campaigns run as separate lists. That breaks the moment a product crosses every campaign at once: multiple reps calling one hospital in a week, no view of how much of our range an account actually buys, and no way to use an existing operating-room relationship to open the sterile processing door.
Your job is to make the system account-aware while keeping campaign execution clean.
What you'll own- Restructure Hub Spot. Its populated and in use. You will rebuild the object model, deduplicate facilities, and add the properties that make cross-sell queryable — facility type, department, lines purchased, departments penetrated. You are rebuilding a live system, not configuring an empty one.
- Get sales data in. Order history is not yet in Hub Spot. You’ll define the requirements for the integration and, in the meantime, work from order-line-level exports so that what an account buys comes from invoices rather than memory.
- Build sample tracking. Our entire motion is sample trial order, and we currently cannot measure where samples die. You’ll make sample-to-order conversion visible by product and by campaign.
- Build the cross-sell engine. Saved, self-refreshing lists: who buys one line but not the adjacent one; which hospital accounts have a department we’ve never called; which accounts have an operating-room contact but none in sterile processing; who hasn’t yet been offered our newest line. Today these are built by hand. They shouldn’t be.
- Build reporting infrastructure — account penetration, lines per account, campaign conversion, sample performance. Our Sales Ops Manager uses it; you build it.
- Build the email programmes that support the floor. Six, in build order:
1.
Post-sample follow-up — build this first. A sample that doesn’t get a timely call simply sits. Automated touches at day 3, 7 and 14, attached to our single most important conversion step
2.
Cross-sell introduction — an account buys one line, email introduces the adjacent one, the rep follows up with anyone who engages. The email warms the call
3.
Reorder nudges
, timed to consumption cycle
4.
Referral requests
, triggered on positive moments — a reorder, a converted sample — with referral source tracked on the account record
5.
Reactivation for accounts that ordered once and went quiet
6.
Post-delivery thank-you carrying one adjacent product
- Campaign operations — pipelines per campaign, lifecycle stages, and contact governance so no facility is called by three reps in one week.
- Protect deliverability. Two business units sending to a growing list of accounts. The higher-volume clinic-facing side must not damage the hospital side’s sending reputation — separate subdomains, warmed and monitored…
