IMS is currently searching for a professional, compassionate and knowledgeable individual to fill the position of Scheduling Supervisor for our Avondale Cardiology clinic. The Scheduling Supervisor provides guidance, training, and monitoring of scheduling and medical records staff activities. Additionally, they ensure all in‑house testing is completed, chart audits are conducted routinely, records are uploaded into the patient charts timely, and manage the record release process to ensure timely release of records.
Responsibilities- Monitor time and attendance to ensure employees are clocking in and out according to company policy.
- Approve time off requests and approve PTO through UKG.
- Arrange for coverage for employees while they are sick/on vacation/leave, etc.
- Ensure employees follow IMS policies and procedures.
- Responsible for staff training, team building and growth.
- Responsible for staff supervision, corrective action, and recommendations for termination.
- Assists Practice Manager in developing and enforcing staff schedules.
- Responsible for evaluating staff performance, developing standards and ensuring basic competencies for all staff.
- Interview, select and hire new employees for open positions.
- Works with Practice Manager to develop and implement goals and objectives for the clinical areas.
- Oversees scheduling staff and Medical Record staff and ensures departmental and organizational goals are met and timely.
- Plans, organizes and supervises the work of Schedulers and Medical Records staff; prioritizes, assigns, monitors and reviews work; provides guidance, technical direction and problem‑solving in response to staff questions and problems.
- Interprets and monitors compliance with regulations governing medical records such as confidentiality and release of information, record timeliness and completeness, records retention and preservation, and related regulations impacting IMS operations.
- Evaluates systems and procedures and develops recommendations for improved operational efficiency and effectiveness.
- Helps maintain scheduling system so records are accurate and complete and can be used to analyze patient/staffing patterns.
- Perform other duties as assigned.
- Minimum 1-3 years’ experience supervising a Cardiology clinical setting.
- Supervisory experience in a cardiology clinic or hospital setting, including surgery scheduling, device scheduling, medical records, medical insurance, referral and prior authorization processing.
- Certified Medical Assistant with a minimum of 3 years’ practical experience.
- Travel may be required depending on business needs.
- Bilingual Spanish/English Preferred.
- High School Diploma or GED; a Bachelor’s degree in Healthcare Administration or Business Administration preferred.
- Medical Assistant Diploma with a minimum of 3 years practical experience.
