Our client, Avon and Somerset Police are seeking a dynamic and enthusiastic Transport Services Receptionist to join their team on a temporary basis. This is an exciting opportunity for individuals who thrive in a customer-focused environment and possess a passion for delivering exceptional service.
Key Responsibilities:
As a Transport Services Receptionist, you will play a vital role in ensuring the smooth operation of the Transport Services workshop. Your responsibilities will include:
Welcoming customers, police officers, staff, and visitors to the workshop while providing first-contact administrative support and handling queries with professionalism.
Assisting with the collection of fleet vehicles, ensuring that all systems are updated accurately to maintain roadworthiness and legal compliance.
Managing incoming calls related to vehicle repairs, maintenance, and job progress, while effectively monitoring appointments to optimise workshop loading.
Collaborating with frontline customers to arrange suitable workshop appointments or roadside assistance when necessary.
Overseeing the allocation of courtesy vehicles and maintaining accurate records in the fleet management system.
Completing necessary pre-appointment paperwork, including job cards and compliance checks, to facilitate smooth handovers to vehicle technicians.
Ensuring safety protocols are adhered to by signing in visitors and providing site safety information.
Inputting and managing records within the Traka key fob system and issuing fuel bearer cards for vehicles in transit.
Ideal Candidate Profile:
To excel in this role, candidates should possess the following qualifications and experience:
Proven experience in customer service, particularly face-to-face and over the phone.
Proficiency in Microsoft Office and other computer packages.
Strong administrative skills with a sound understanding of delivering support services, preferably in remote locations.
Ability to work independently and collaboratively within a team environment.
Excellent organisational skills with the ability to prioritise workload and respond effectively in emergency situations.
