Role details

To provide administrative and secretarial support to the prison integrated mental health

multidisciplinary team, including the matron, team manager, consultant psychiatrist and other members of the team.

Duties to include but not limited to:

* Using typing skills, to produce correspondence and reports as required for the MDT.

* Organising and attending meetings, preparing agendas, ensuring all appropriate

arrangements have been made prior to meetings, including collation and distribution of any

relevant papers, taking minutes, and ensuring their timely distribution.

* Arrange meetings and appointments and ensure diaries / system one ledgers are efficiently

maintained and coordinated for the multidisciplinary team.

* Administration support for Psychiatrist’s including minuting meetings, preparing letters and

discharge summaries and liaison with external mental health hospitals to support with referrals for those that require transfer to mental health hospitals.

* Receiving complex or sensitive information and ensuring that the information is shared with clinicians in a timely manner.

* Entering patient information into System1 ensuring the information is entered accurately

and in a timely manner. This includes updating demographic information, uploading

correspondence, creating new/ending referrals as needed.

* To work with, and support, other forensic administrators to maintain a comprehensive and

equitable administrative service. To provide cover for other administrators in times of

absence.

* To appropriately report and record accidents/incidents and comply with Health and Safety

regulations.

* Taking appropriate action with regards to communication made and received by telephone,

letter, and e-mail. This potentially includes communications with patients, carers, external

agencies e.g., requests for consultants to call back external stakeholders, requests for MoJ

paperwork.

* Liaising with Community Mental health Teams to gather information and to complete follow

ups on patients after their release.

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

You’ll learn the following whilst working at the trust:

 1. An in depth understanding of the roles and responsibilities involved in working within the NHS

 2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times

 3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You’ll have the following skills/experience:

* Experience of using Microsoft Word and other Microsoft packages to include external databases and system packages.

* Prison clearance

* Excellent typing skills

* Educated to A-levels or equivalent qualification, or significant relevant experience in a relevant field

* Previous experience within an NHS/healthcare/prison setting.

* Good written and verbal skills
