Job overviewThe Intensive Care Unit (ICU) Administrator provides comprehensive administrative, clerical, and reception support to the Critical Care service, ensuring the efficient day-to-day operation of the department. Working closely with the ICU leadership team, nursing staff, and multidisciplinary colleagues, the post holder acts as a key point of contact for patients, relatives, visitors, and healthcare professionals while maintaining the highest standards of confidentiality and professionalism.
The role is responsible for managing patient records, supporting clinical information systems, coordinating communications, arranging patient transfers, maintaining departmental documentation, and assisting with data collection and reporting requirements. The post holder also supports relatives and visitors, manages stationery and departmental supplies, assists with staff administration, and contributes to a safe, organised, and welcoming environment within the Critical Care Unit.
By ensuring accurate administration, effective communication, and efficient coordination of non-clinical processes, the ICU Administrator plays an essential role in supporting patient care, service delivery, and the overall operational effectiveness of the Intensive Care Department.
Main duties of the job
- Provide administrative, clerical, and reception support to the Intensive Care Unit (ICU).
- Act as the first point of contact for patients, relatives, visitors, and healthcare professionals, delivering a professional and confidential service.
- Answer and direct telephone calls, providing information within the scope of the role and Trust policies.
- Maintain accurate patient records and update electronic systems including ICCA, CRS, and ICNARC.
- Support data collection, entry, and reporting for audits, operational reports, and national submissions.
- Coordinate patient transfers, including transport arrangements and transfer of records and property.
- Manage departmental correspondence, mail distribution, and emails.
- Provide administrative support to the ICU follow-up clinic as required.
- Maintain records relating to patient valuables, donations, staff information, and departmental documentation.
- Monitor and order stationery and designated supplies, checking deliveries and reporting discrepancies.
- Support relatives and visitors, referring clinical enquiries to the appropriate nursing staff.
- Assist with staff induction processes and locker allocation.
- Maintain a safe, organised working environment and report maintenance or safety concerns.
