We are looking for a highly organised and proactive Service Desk & Administrative Coordinator to join our busy and growing team. This is a varied role that combines service coordination, customer support, and general administration, making it ideal for someone who enjoys working in a fast-paced environment and takes pride in delivering excellent service.
You will be the key link between customers, engineers, and suppliers, ensuring service requests are managed efficiently while providing vital administrative support across the business.
Key Responsibilities Service Desk Coordination- Act as the first point of contact for customers, handling service enquiries and logging requests.
- Coordinate planned maintenance visits and respond to emergency call-outs.
- Schedule engineers and manage workloads to ensure efficient service delivery.
- Monitor and maintain service management systems, ensuring all jobs are accurately recorded and updated.
- Track job progress and ensure service levels and deadlines are achieved.
- Provide customers with regular updates regarding job status and completed works.
- Source and order parts, liaising with suppliers to meet service requirements.
- Manage incoming calls, emails, and general correspondence.
- Maintain accurate company records, databases, and documentation.
- Assist with the preparation of service reports, quotations, and invoices.
- Provide administrative support to the HR and Finance functions.
- Coordinate team schedules, meetings, and other business activities.
- Support compliance activities and assist with audit preparation where required.
To be successful in this role, you will have:
- Previous experience within a Service Desk, Service Coordinator, Scheduling, Administration, or Customer Service position.
- Strong organisational skills with the ability to manage multiple priorities effectively.
- Excellent communication skills and a professional telephone manner.
- A customer-focused approach with a commitment to delivering outstanding service.
- Good working knowledge of Microsoft Office applications, including Word, Excel, and Outlook.
- Experience using CRM, scheduling, or service management systems.
- The ability to work under pressure whilst maintaining accuracy and attention to detail.
- A reliable, proactive, and hardworking attitude.
