Position:

An exciting opportunity has arisen for a Corporate Administrator within the Executive department, to support the Chief Executive & Chair’s Office. Based within the Ailsa Hospital site, although distributed working is available, you will gain experience working in a fast‑paced, dynamic and professional environment within a supportive and welcoming team.

Hours:

From 1 April 2026, the working week for NHS Agenda for Change staff in Scotland will be reduced. Full‑time hours will reduce from 37 to 36 hours (pro rata for part‑time staff) without loss of earnings. 37 hours Monday – Friday. This post is offered on a permanent basis.

UK Driving Licence/Car Ownership:

Full UK driving licence and access to a vehicle is essential to this role as travel may be required to meeting venues across Ayrshire.

What you will do:

In this role, you will provide high‑quality administrative and secretarial support to the Chief Executive & Chair’s Office, managing correspondence and generic mailboxes, coordinating timely responses, and supporting enquiries, feedback and complaints processes with professionalism and discretion. You will prepare reports, briefings, meeting papers and consultation responses, as well as organise meetings, take accurate minutes and ensure all documentation is circulated promptly.

A workflows, support updates to intranet and external web pages, assist with diary management when required, handle sensitive telephone enquiries, contribute to office procedures and provide cover for colleagues during periods of leave.

Knowledge, training and/or experience required to do the job:

The role requires education to at least SVQ Level 3 or equivalent administrative or secretarial experience, with ECDL desirable. You must have a solid understanding of the health and care sector, with additional knowledge of partnership or community services considered beneficial. Essential experience includes working effectively as part of a team, compiling information for reports, taking accurate minutes, and managing multiple concurrent tasks under tight deadlines while maintaining high attention to detail.

Strong skills in Microsoft Office, excellent written and verbal communication, diplomacy, discretion, problem‑solving, analytical ability, and the ability to produce high‑quality documentation are also required.
