The Cathcart Street Practice, 8 Cathcart Street, AYR, KA7 1BJ

We are looking for an experienced, enthusiastic, and highly organised Medical Secretary to join our friendly and busy practice. This is a dual-role position
, combining medical secretarial responsibilities with front-of-house reception duties, making it ideal for someone who enjoys a varied workload and providing excellent patient care.

Hours: 27 hours over 3 days (Monday, Wednesday & Friday)

Key Responsibilities

Medical Secretary Duties

  • Typing of clinical correspondence, referrals, and reports.
  • Managing patient referrals and appointments.
  • Liaising with hospitals, consultants, and other healthcare professionals.
  • Maintaining accurate patient records and ensuring confidentiality at all times.
  • Managing incoming correspondence and supporting the clinical team with administrative tasks.

Reception Duties

  • Welcoming patients in a professional and friendly manner.
  • Booking and managing appointments.
  • Answering telephone calls and responding to patient enquiries.
  • Registering new patients and updating patient records.
  • Processing prescriptions and general administrative tasks.
  • Ensuring the reception area remains organised and welcoming.

About You

The successful candidate will have:

  • Previous experience as a Medical Secretary within a GP practice or healthcare setting (essential).
  • Experience working on a busy reception desk.
  • Excellent typing and IT skills.
  • Knowledge of medical terminology.
  • Strong organisational skills with the ability to prioritise workload.
  • Excellent communication and interpersonal skills.
  • A professional, compassionate, and patient-focused approach.
  • The ability to work independently as well as part of a team.
  • Experience with clinical systems such as EMIS, Systm One, or similar is desirable.
