OverviewThis position is responsible for the management of programs within the Department of School Counseling & School Psychology. The Program Manager creates and implements processes to facilitate all departmental administrative duties, as well as special projects under the direction of the Department Chair. The program manager will work closely with the Program Directors and the Department Chair in developing and maintaining communications with students and faculty, initiating adjunct faculty contracts and tracking their timekeeping, maintaining the budget and faculty workloads, tracking student progress in coursework and practicum/field work, supporting program events, developing systems and policies to streamline departmental operations, and other duties as assigned.
This position is a fully in-person position on our Azusa campus.
- Bachelor’s degree required.
- Master’s degree preferred.
- Three to five years of related experience in higher education (equivalent experience may be considered).
- Serve as a confidential assistant to the Chair and focus on working with one or more Program Directors. This includes:
- Administrative responsibilities within the program, including responding to telephone and role account emails, preparing correspondence, and tracking and following all program-related issues.
- Assisting Chair/Program Director with responding to student issues and concerns, including student petitions, exceptions, and enrollment issues.
- Assisting the Chair/ Program Director in scheduling courses.
- Preparing reports as directed by the Chair or Program Director.
- Supporting Program Directors with organization and planning of Program Advisory Council(s).
- Track and manage operational and restricted budgets within the department under the direction of the Department Chair.
- Managing special projects as directed by the Chair or Program Director.
- As liaison between students and the Department of School Counseling and School Psychology. This includes:
- Coordinating the graduate student admission process from inquiry through admission, including tracking and monitoring enrollment, progression toward credentials and/or degree, and completion.
- Communicating with students about program requirements and policies, and assisting with student questions.
- Tracking student progress through the program.
- Managing the advising schedule/calendar for program(s) in concert with the Office of Credentials.
- Monitoring the status of intern credential holders to ensure correct course enrollment and continuing mentor supervision.
- Managing clinical practice and fieldwork alongside Program Directors, including gathering documents for clinical practice clearance, determining clinical practice eligibility, and notifying students of clinical practice placement assignments, as well as other items required for students to participate in clinical practice.
- Monitoring and reviewing data collection for student completion of program requirements at all transition points in the InPlace software system.
- Performing analyses of key metrics such as student completion rates of program requirements, and providing this information to Program Directors, Credential Analysts, Graduate Registrar, and others at program completion or as requested.
- Serving as contact point between students and the various programs and responding to student phone calls, emails, and walk-in visits.
- Creating a welcoming atmosphere and building student community.
- Provides support to full and adjunct faculty within the department. This includes:
- Ensuring timely preparation of adjunct contracts and faculty payment forms as necessary.
- Managing the beginning and end of term processes to ensure smooth transitions.
- Monitoring course enrollment and coordinating course schedule changes with Program Directors and department personnel.
- Evaluating textbook needs and coordinating with bookstore on requisitions, including ebook offerings through Immediate Access, and Redshelf.
- Coordinating with ITT on course needs within the Canvas platform.
- Processing facility and room requests as needed.
- Supports program functions within the Department of School Counseling & School Psychology. This includes:
- Creating and maintaining program files and documents, including archiving files and documents in ARK.
- Collaborating with Registrar, Admissions Office, and other departments and programs interacting with the Department of School Counseling & School Psychology.
