Position Title: Assistant Plans & Benefits Coordinator (Bilingual)

Department: Benefits Administration / Human Resources

Reports To: Benefits Manager or Plans Administrator

Status: Full-Time

Position Summary

The Assistant Plans & Benefits Coordinator is responsible for providing administrative support for employee and client benefit plans, enrollment processes, eligibility maintenance, and customer service inquiries. This role serves as a key liaison between employees, clients, insurance carriers, and internal departments to ensure accurate and timely benefits administration. The ideal candidate is highly organized, detail-oriented, and bilingual in English and Spanish, with excellent communication and customer service skills.

Essential Duties and Responsibilities
  • Assist with the administration of employee benefits programs, including medical, dental, vision, life insurance, disability, and retirement plans.
  • Support benefit enrollments, changes, terminations, and annual open enrollment activities.
  • Review and process employee eligibility information and maintain accurate records in HRIS and benefits systems.
  • Respond to employee and client inquiries regarding benefits, coverage options, eligibility, claims, and enrollment procedures.
  • Communicate with insurance carriers, brokers, and vendors to resolve eligibility, billing, and claim issues.
  • Prepare benefits-related correspondence, enrollment materials, and employee communications.
  • Assist with auditing benefits data and maintaining compliance with company policies and regulatory requirements.
  • Track and reconcile benefit invoices and assist with billing discrepancies.
  • Maintain confidentiality of employee and client information in accordance with HIPAA and company policies.
  • Support special projects and perform additional administrative duties as assigned.
Qualifications

Required:

  • High school diploma or equivalent;
    Associate's degree preferred.
  • Minimum 1-2 years of administrative, benefits, HR, insurance, or customer service experience.
  • Bilingual fluency in English and Spanish, both written and verbal.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Excellent customer service, communication, and interpersonal skills.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Ability to handle sensitive and confidential information professionally.
Preferred:
  • Experience with employee benefits administration or insurance plans.
  • Knowledge of COBRA, HIPAA, ACA, and other benefits-related regulations.
  • Experience working with HRIS, benefits administration platforms, or insurance carrier portals.
  • Prior experience in healthcare, insurance, benefits brokerage, or human resources environments.
