Overview
Front Desk Associate, School Health - Bilingual Spanish Speaking - Part Time at PM Pediatrics. This position is located in person at Baldwin Middle School.
To perform this job successfully and provide families with a First-class Experience that is Efficient and Accurate, the individual must be able to carry out each essential job duty satisfactorily. The Front Desk Associate will engage with families to provide a welcoming experience and manage front desk and administrative tasks for the medical team in alignment with PM Pediatrics' mission, vision, values, and culture.
Responsibilities- Greets families professionally both in person and on the phone. Answers student/family questions to the best of their ability and seeks clarification when needed.
- Uses empathy and active listening in difficult interpersonal situations.
- Supports student care quality initiatives as directed.
- Coordinates escalations and urgent issues to ensure timely and complete resolutions.
- Collaborates and communicates with site leadership to facilitate management of complex student issues.
- Emphasizes PM Pediatric Care’s Core Values to help students, families, and team members navigate PM systems before, during, and after a visit.
- Monitors and manages student flow throughout the waiting and registration process, including assisting families with initiating the self-registration process.
- Stays aligned with written workflows to keep current on responsibilities and technology.
- Registers all students and maintains accurate and complete student accounts by obtaining, recording, and updating demographics, insurance, and financial information while maintaining HIPAA compliance.
- Manages and handles all incoming student documents, mail, and correspondence with proper documentation and storage.
- Maintains confidentiality and privacy of all student accounts and adheres to HIPAA guidelines.
- Performs opening and closing duties including organizing, stocking, sanitizing, and reconciling.
- Executes other duties as assigned.
- Team player that can function independently in a fast-paced environment.
- Intermediate skills with Microsoft Office Suite. Ability to work flexible schedules based on office needs; occasional travel to another site within reason.
- Excellent customer service and telephone skills; strong verbal and written communication; professional and friendly demeanor.
- Quality-focused and detail-oriented.
- Ability to calculate simple figures such as adding receipts, counting cash drawers, or giving change.
- Outstanding time management, organizational, and critical thinking skills.
- Superior situational awareness and ability to react to urgent situations.
- Prior experience in a healthcare environment and knowledge of medical insurance preferred.
- Socially perceptive and able to relate to children and how they interact with families.
- Comfortable with routinely shifting demands; navigate multiple computer systems.
- Front Desk, concierge, customer service, or other hospitality experience preferred.
- High school diploma or GED.
Compensation: $17 - $26/hour
