Job purpose:To provide administrative, clerical and secretarial support in the Transport Division
What you'll be doing:- Provide administrative, clerical and secretarial support to officers in the Transport Division
- Maintain manual and/or computerised information systems (including fleet/vehicle maintenance records)
- Update electronic records relating to vehicle maintenance and complete required returns/records
- Contact relevant personnel to request and provide information as needed
- Review and process invoices for authorisation and payment
- Support purchasing and supplies administration, including requisitioning, ordering, receiving, checking, storage and distribution of resources
- Assist with stock control of resources and arrange maintenance of equipment
- Screen and direct incoming calls, receive visitors and provide hospitality when required
- Handle mail sorting, filing, typing, duplication and photocopying to support daily administration
- Draft correspondence and maintain lists/registers and management information systems
- Maintain diaries, arrange appointments and meetings, and support senior officers with secretarial cover
- Service meetings and draft minutes when required
- Communicate regularly with professional staff from outside agencies to receive/provide information
- Support work placement students with practical office tasks (where appropriate)
- Strong administrative and clerical skills with a calm, organised approach to busy office days
- Confidence using computers to maintain accurate electronic records
- A reliable eye for detail-especially when reviewing records and invoices
- Clear communication skills, including professional phone manner and visitor-facing confidence
- Discretion and professionalism when handling confidential documentation
- A proactive attitude towards supporting wider office processes and colleagues
- Full time, on-site position (Monday-Friday, 09:00-17:00), 37 hours per week
- Hourly rate: £14.99 per hour
- Assignment: ASAP until 28/02/2027 (likely to extend)
- Qualifications/
Experience:
Hold a minimum of five GCSE passes (grades A*-C) or relevant equivalent or higher examination qualifications (one of which must be in English) and one year's administrative/clerical experience in an office environment including the practical use of computers or have a minimum of three years' administrative/clerical experience in an office environment including the practical use of computers
