James Donnelly Ltd. is seeking a reliable and organised Office Administrator to provide administrative support for its busy commercial HGV garage in Portglenone. This is a part‑time, permanent role with the opportunity for the position to grow as the business continues to develop.
The successful candidate will play an important role in maintaining accurate records, processing garage paperwork, supporting customer and supplier communications, and ensuring that administration is completed efficiently and to a high standard.
AboutThe Role
Key Responsibilities
- Managing daily office administration and garage paperwork accurately and efficiently.
- Recording vehicle intake information, including chassis numbers, registration numbers, job details and related documentation.
- Using relevant garage and maintenance systems, including the existing transport operations system, “Move IT”, and supporting the implementation of the new “Maintain It” system.
- Handling telephone calls, emails and general enquiries in a professional manner.
- Liaising with customers, suppliers and internal colleagues as required.
- Maintaining organised records and filing systems, both electronically and in paper format.
Supporting the wider team with ad hoc administrative duties to help ensure the smooth running of the office and garage.

Required Criteria- Minimum of 2-years previous experience in an administrative, office support or customer service role (or equivalent).
- Strong organisational skills with the ability to manage paperwork, records and competing priorities.
- Good attention to detail and the ability to input information accurately.
- Confident communication skills, both written and verbal.
- Competent IT skills, including Microsoft Office and general office systems.
- Ability to work independently, use initiative and maintain confidentiality where required.
- Experience working within a garage, transport, logistics, vehicle maintenance or similar environment.
- An understanding of HGV, commercial vehicle or workshop administration processes.
- Experience using garage management, maintenance or job‑tracking systems
