Overview
The Scheduling Coordinator II will ensure timely, accurate, and complete scheduling services for patients. This position follows the established protocols considering availability, priority, and appropriateness when scheduling appointments for patients and providers.
Responsibilities
1.Tracks all new and follow-up patient appointments using the scheduling system. Works with providers and Care Centers to ensure proper scheduling related to the patient's needs.
2. Monitors all clinician leave requests (planned and unexpected) and reassigns to ensure appropriate patient coverage. Communicates any coverage concerns immediately to supervisor.
3. Tracks all cancellations and no shows for evaluation/treatment appointments using the scheduling system. Works with providers and administrative personnel to ensure rescheduling related to the patient's needs and according to department policies and procedures.
4. Oversees the maintenance of and updates to various databases (i.e., Epic waitlists, Tickler File, and Internal Consult).
5. Tracks and monitors ongoing Plans of Care to maintain accuracy of the schedule, track open times on the schedule, and help maintain the patient waiting list.
6. Maintains and stays abreast of all insurance requirements as they relate to the collection of accurate information for each Care Center.
7. Monitors insurance benefit thresholds and facilitates the acquisition of additional authorization(s) as needed by working closely with the Care Management Office and Financial Counseling teams.
8. Maintains regular contact with patients, clinics, and departments regarding pending insurance clearances, coverage, issues, and/or follow-up activity. Responds to patients, families, and clinic issues in a timely and professional manner.
9. Provides routine financial counseling and seeks assistance from the supervisor when obtaining answers to resolve patient issues.
10. Maintains a general understanding of scheduling as it refers to all outpatient medical programs.
11. Assists the supervisor with training new Scheduling Coordinators.
Qualifications
EDUCATION:
* High School diploma or equivalent required.
* Associates or higher degree in human services, healthcare administration, or related field preferred.
EXPERIENCE:
* 3-5 years' experience registering, scheduling, coordinating, and operating patient services required.

USD $39,748.00/Yr.
Maximum pay range
USD $65,066.00/Yr.
