Reconstruction Job File Coordinator

Pay: $50,000.00 - $55,000.00 per year
To help achieve this goal and support our growth, we are building a world-class Project Coordination Team and adding a Reconstruction Job File Coordinator who will be a key member of this team, reporting directly to the Head of Project Coordination.
What You'll Do- Receive new job assignments, set them up in our project management system, DASH, and coordinate with customers and appropriate departments to schedule jobs and estimates.
- Monitor Third-Party Administrators (TPAs) daily to ensure compliance for each claim and that TPA service level agreements (SLAs), requirements, targets, and key performance indicators (KPIs) are achieved.
- Maintain job file status and work in progress (WIP) and provide periodic updates required by TPAs and insurance companies.
- Complete regular job audits to ensure all required data is entered correctly, data management is handled properly, and all job file documentation has been received.
- Close out jobs and ensure job files are complete.
- Problem-solve when conflicts arise, including scheduling and customer satisfaction issues.
- 5 years of progressive work experience.
- 2 years of coordinator or administrator experience, preferably in the home restoration industry.
- Ability to participate in an on-call rotation overnight and during weekends to receive and assign emergency-related claims.
- Excellent verbal and written communication, interpersonal, problem-solving, sales, and negotiation skills.
- Fluent in English. Spanish is a strong plus.
- Knowledge and understanding of DASH, Xactimate, Alac Net, and Contractor Connection is a plus.
- Ability to establish and maintain strong working relationships with homeowners, insurance adjusters, and coworkers.
- Solid work ethic, high integrity, positive attitude, and strong attention to detail and accuracy.
- Motivated self-starter who is professional and has a passion for making things better.
- Ability to work independently, perform in a fast-paced, team-oriented office environment, multitask, and adapt to a rapidly growing business.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
You will help keep reconstruction job files organized, compliant, and moving forward. Your coordination with customers, TPAs, insurance companies, and internal teams will help ensure claims are properly managed, documented, and completed.
