Position: Purchasing Administrator (Protected Categories L.68/99)

General Summary

This position reports to the Director of Procurement or their designee and is located in Maranello, Italy. The role provides administrative support to the Purchasing Department, working across both indirect and direct purchasing activities. The position also supports Wind Tunnel (WT) purchasing operations with administrative tasks, ensuring accurate documentation, timely information flow, and smooth coordination between departments.

Key Responsibilities
  • Promote teamwork and effective communications to develop working relationships between all personnel and departments.
  • Work closely with the Technical & Indirect Buyers to support daily purchasing activities for both indirect and direct goods and services.
  • Enter and update purchasing information in the ERP system, such as order details, supplier data, and delivery dates.
  • Support the release of materials into production in coordination with the production schedule, ensuring timely availability and uninterrupted workflow.
  • Prepare, issue, and track purchase orders.
  • Communicate with suppliers to collect updates on delivery schedules and order status.
  • Support WT Operations with administrative tasks, including documentation, material request updates, and maintaining records.
  • Organize, file, and maintain purchasing documentation in an accurate and structured way.
  • Monitor and expedite open orders and help ensure correct and timely deliveries.
  • Collaborate with Finance and other departments when administrative alignment is required, including the resolution of invoice queries
  • Follow all safety regulations in all venues.
  • Other duties as assigned by the Director of Procurement or their designee.
Education and Work Experience
  • GCSE, High School Diploma or equivalent required.
  • Further education including a University Degree is a plus but not essential.
  • Previous work experience or an internship is a plus.
Specialized Knowledge and Skills
  • Strong communication skills, written and verbal.
  • Basic understanding of the English language.
  • Good organizational skills and attention to detail.
  • Able to follow procedures and maintain accurate records.
  • Work to a consistently high standard in stressful and time sensitive situations.

Equipment and Applications
  • Computer knowledge, preferred experience in Microsoft Office products and ERP Systems.
Work Environment Physical Demands

An ability to work and prioritize within a high pressure, time sensitive environment while retaining a methodical approach is essential. The role may require occasional domestic, and international travel and a willingness to work long and flexible hours including weekends.
