Procurement & Vendor Management

Responsible for the procurement process of fashion products and accessories to ensure the company's product needs are met with appropriate quality, price, quantity, and delivery time. This position manages the procurement process from identifying needs, searching and selecting vendors, negotiating prices and terms of cooperation, creating and monitoring Purchase Orders (PO), to ensuring goods are received as ordered. This position is also responsible for maintaining vendor relationships, monitoring vendor performance, and conducting evaluations to support product availability and smooth sales operations.

Identify procurement needs for fashion and accessories products based on store needs, sales requests, stock data, and related directives

Collect and verify information regarding product types, SKU, specifications, quantity, and timing requirements before purchase

Search and identify vendors or suppliers capable of providing products according to company standards and requirements

Collect information regarding price, MOQ, capacity, lead time, quality, and terms of cooperation from vendors

Conduct vendor comparison based on price, quality, fulfillment capability, and delivery timeliness

Conduct negotiations with vendors regarding price, MOQ, purchase quantity, lead time, quality, and terms of cooperation

Prepare or process Purchase Orders (PO) according to procurement results and applicable approvals

Monitor all active POs until goods are received and conduct follow-up with vendors regarding production status, goods readiness, delivery schedule, and estimated arrival

Coordinate with Warehouse, Store, and/or QC functions regarding goods receipt from vendors and ensure received goods match the PO in terms of product type, SKU, quantity, and agreed specifications

Establish and maintain professional working relationships with vendors or suppliers and monitor vendor performance based on goods quality, quantity accuracy, delivery timeliness, price, and response to issues

D3/S1 education in Management, Industry, or Supply Chain

Minimum 3 years of work experience in purchasing, procurement, goods procurement, merchandising, or vendor management, preferably in the retail fashion industry

Understand procurement processes and supply chain flow

Capable of conducting PO tracking and vendor coordination

Understand lead time, MOQ, costing, and price structure

Possess negotiation capabilities

Understand basic quality control

Able to use Microsoft Excel/Google Sheets and administrative/purchasing systems
