Job Description
We are seeking an experienced PMO Reporting Specialist (8–10 years) to join our PMO team. This role sits within the PMO and is responsible for owning Excel-driven operational reporting across delivery, resourcing, and financial KPIs—ensuring leadership has accurate, timely, and readable reporting for decision-making.
A key expectation for this role is to own operational reporting end-to-end in Excel (including pulling and consolidating data from multiple sources) and ensure the same reporting truth is reflected in PM systems/tools through strong governance, data quality enforcement, and consistent updates across project plans, resourcing, and financial tracking.
Must Have Technical/Functional Skills
• Advanced Excel operational reporting (expert):
Expert-level MS Excel (pivot tables, Power Query, Power Pivot, advanced formulas) with proven ability to extract, consolidate, cleanse, and transform data from multiple sources (PM tools, timesheets, finance trackers, resourcing sheets, CSV exports) and deliver clear, leadership-ready operational reporting.
• Multi-source data consolidation:
Strong ability to merge data from different systems, reconcile inconsistencies, and maintain a single source of truth reporting view.
• Reporting-to-system alignment:
Ability to ensure Excel reporting outputs are accurately reflected back into PM systems/tools by driving updates, standardizing fields/structures, and enforcing consistent data capture across teams.
• Project setup and tool administration:
Hands-on expertise setting up projects in enterprise PM/PPM tools (project creation, templates, calendars, codes, workflows, access, assignments).
• System hygiene and data integrity:
Strong discipline in ensuring systems are always up to date (owners, dates, dependencies, statuses, assignments) and driving compliance across teams.
• Dashboards and analytics tools:
Experience with tools such as Power BI and working with structured datasets.
• Strong KPI understanding (financial + delivery):
Strong working knowledge of PMO and delivery KPIs, including gross margin calculation, budget maintenance, forecasting, variance tracking, and margin tuning/improvement, and ability to translate these into actionable reporting.
• Stakeholder management:
Ability to work across global, cross-functional teams; communicate clearly; unblock teams quickly; drive follow-through.
• PMO methods and governance:
Strong understanding of PMO standards, templates, governance cadences, and Agile/Waterfall/Hybrid delivery environments.
• Tool SME mindset:
Comfortable acting as a go-to person for tool/process questions, troubleshooting, training, and creating SOPs/guides.
Roles & Responsibilities
• Own weekly/monthly Excel-based operational reporting across portfolios: project health roll-ups, milestone delivery tracking, utilization/capacity, budget burn, forecasting, and KPI trend analysis—formatted for leadership consumption.
• Pull and consolidate data from multiple sources (PM tools, resourcing trackers, financial inputs, timesheets, operational logs), reconcile inconsistencies, and publish a single source of truth reporting view.
• Ensure reporting is reflected in PM systems/tools: drive the updates needed in PM tools so Excel-reported milestones, dates, ownership, utilization, and financial tracking are consistently captured and aligned across systems.
• Own end-to-end project setup in PMO tools: create projects, configure templates, calendars, codes, and standard structures.
• Manage user access, roles, permissions, and assignments to ensure teams can start and execute work without tool-related delays.
• Drive PMO tool governance: standardize naming conventions, structures, and update hygiene across projects/programs.
• Ensure project information is current and accurate in systems; perform periodic checks and coordinate corrections with project teams.
• Support PMO operating cadence: planning sessions, governance checkpoints, action tracking, RAID logs, decision logs, and meeting enablement (from a reporting/tooling lens).
• Act as the PMO Tools SME: troubleshoot issues, support adoption, create SOPs/quick guides, and conduct enablement sessions.
• Partner with PMO leadership to identify process/tool gaps and implement improvements (automation, templates, workflow enhancements, reporting optimization).
