Job Title:
Fleet Maintenance & R&M Coordinator
Role Overview
The Fleet Maintenance Coordinator is responsible for ensuring the operational readiness, safety, and efficiency of the company’s vehicle fleet. This role focuses on minimizing downtime through proactive scheduled maintenance, managing the full lifecycle of tire assets, overseeing AdBlue logistics, and acting as the primary point of contact for external vendors and insurance providers.
Key Responsibilities
1. Comprehensive Repair & Maintenance (R&M)
• Oversee all mechanical and electrical repairs to ensure vehicles meet safety and performance standards – Coordinate with the OEM (Vehicle & Reefer)
• Diagnose recurring issues and implement long-term solutions to reduce breakdown frequency.
• Conduct regular inspections to identify wear and tear before it leads to operational failure.
2. Tire Management & Optimization
• Manage the procurement, fitment, and rotation of tires across the fleet.
• Monitor tire pressure, tread depth, and alignment to maximize fuel efficiency and tire longevity.
• Maintain a detailed inventory of new.
3. Vendor & Service Provider Coordination
• Serve as the lead liaison between the company and external workshops, garages, and parts suppliers.
• Negotiate service rates and ensure all vendor work meets quality benchmarks and timelines.
• Verify invoices against work performed to ensure cost-effectiveness.
4. Fluids & Emission Control (AdBlue Management)
• Monitor AdBlue consumption levels across the fleet to ensure compliance with environmental standards.
• Coordinate the bulk procurement and timely refilling of AdBlue to prevent vehicle downtime.
5. Preventive Maintenance Planning
• Develop and implement a Master Service Schedule for all vehicles based on mileage or time intervals.
• Track service history logs and ensure 100% compliance with manufacturer warranty requirements.
6. Accident & Insurance Management
• Coordinate the recovery and repair of vehicles involved in accidents.
• Manage the end-to-end insurance claim process, including documentation, surveyor coordination, and final settlement.
• Analyze accident data to recommend safety improvements or driver training.
Required
Skills & Qualifications
• Technical Knowledge:
Deep understanding of heavy/light vehicle mechanics and emission systems
• Preferrable Educational Qualifications – BE in automobile, Diploma in Automobile or Skilled Bachelor
• Languages - Compulsory Hindi and English
• Organizational
Skills:
Ability to manage multiple service timelines simultaneously.
• Basic Computer skills are mandatory.
• Communication:
Strong negotiation skills for dealing with vendors and insurance adjusters.
• Documentation:
Proficiency in maintaining digital maintenance logs or Fleet Management Software (FMS).
