Ward Clerk

Full‑time position Monday‑Friday, 7:30 am–4 pm. The Ward Clerk will work directly with the public and oversee daily front‑desk operations, including staff scheduling and clinical scheduling within the building.

Education / Requirements
  • High School Diploma required.
  • Medical Terminology course preferred.
Purpose of Position

Assist the Nursing Department in day‑to‑day administrative functions in accordance with federal, state and local standards, ensuring medical records are complete and maintained accurately.

Physical Demands & Contacts

Continual walking, lifting, bending, pulling, stretching and occasional sitting. Contacts with the administrator, director of nursing, employees, physicians, residents, families, allied health professionals, surveyors, volunteers and other community members.

Essential Job Functions & Responsibilities
  • Promotes and maintains positive relationships with peers and residents and works collaboratively with all departments.
  • Maintains a current listing of physician, emergency, and business phone numbers.
  • Answers telephone, page calls, and delivers messages.
  • Upon resident discharge, disassembles chart and prepares to close records.
  • Completes medical record requests according to policy.
  • Enters resident demographics in ECS and utilizes Health Information Network as needed to obtain resident medical information.
  • Ensures all orders are signed, dated and filed into the resident chart within 5 days of the written order.
  • Assists with admission/discharge of residents as necessary.
  • Provides transportation for residents to scheduled appointments as appropriate.
  • Assists with placing supply orders as assigned.
