The North Devon Adult Community Mental Health Team is seeking to recruit an enthusiastic, flexible and multi‑skilled administrator to join its busy administration team. The Team supports Mental Health Services across North Devon. You may be required to work at Abbots vale in Bideford on occasions, but based at West Pilton Wellbeing Clinic in Pilton, Barnstaple. Training will be given to support you in your development within this role.

duties of the job

The post holder will undertake administration of all office tasks supporting the Community teams as well as covering the reception at the two sites when required.

Main tasks will include meeting and greeting patients, answering calls, when you will often be the first port of call; working from shared email inboxes, keeping Excel spreadsheets updated, generating letters and reports, uploading these onto our patient record system. There will be a requirement to prepare agendas for meetings and take minutes. You will require excellent communication, IT and organisational skills, be able to remain calm and professional during busy times or when handling difficult situations, and have the ability to adapt to constant changes within the NHS.

Person Specification Qualifications
  • Business Administration Level 3 / T Level qualification in Management and Administration, or equivalent experience.
  • GCSE English or equivalent.
  • Evidence of continuing professional and personal development.
  • ICDL (International Computer Driving License), or equivalent experience.
Experience
  • Excellent organisational skills.
  • Ability to prioritise workload and adapt to change when required.
  • Previous experience of working within an administrative or secretarial team.
  • Experience of dealing with confidential and complex information.
  • Previous experience of working in a Healthcare or Social Care administrative setting.
  • Ability to take accurate formal and informal minutes.
  • Demonstrate good numeracy and literacy skills.
Analytical and Judgemental Skills
  • Ability to work under pressure.
  • Able to plan, organise, prioritise, coordinate and work flexibly.
  • Ability to work without direct supervision on a day to day basis.
