We are looking for someone with excellent communication and interpersonal skills, who can engage with patients in a professional, compassionate and empathetic manner. Whilst previous administrative or reception experience is desirable, we are also keen to hear from applicants with limited or no direct experience, as this minimum 12-month maternity cover position provides an excellent opportunity to develop administrative, communication and patient-facing skills within a busy GP practice. We are seeking a confident, proactive, and highly organised Administrator to join our busy GP practice team.
This is a fast-paced and dynamic front-line role, where no two days are the same, and the ability to stay calm under pressure is essential. As the first point of contact for our patients, you will pay a vital role in creating a welcoming, respectful and efficient environment.
The working pattern for this fixed term 12-month maternity cover (full time) is as follows:
- Monday 8.15am - 5.15pm (with 1 hour lunch break)
- Tuesday 8.15am - 5.15pm (with 1 hour lunch break)
- Wednesday 8.15am - 12.15pm
- Thursday 8.15am - 6.30pm (with 1 1/4 hours lunch break)
- Friday 8.15am - 5.15pm (with 1 hour lunch break)
Starting pay of £12.71 per hour. On successful completion of probationary period this will increase to £12.81 per hour.
Closing date Friday 16th October. Successful applicants will be contacted by the end of the working day on 19th October at the latest. Interviews are planned for Wednesday 21st and Thursday 22nd October. The interview process will include group interviews on the Wednesday and formal interviews on the Thursday for those short listed following the group stage.
Job Title:Healthcare Administrator to the Nursing Team
REPORTS TO:
Healthcare Administration Manager/Deputy
HOURS:
37 hours per week
The purpose of the role is to:
- Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
- Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way by telephone and on the helpdesk
- Undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of clerical support to clinical staff and other members of the Practice team
- Facilitate effective communication between patients, members the primary health care team, secondary care and other associated healthcare agencies
The duties and responsibilities to be undertaken by members of the Practice administration team may include any or all of the items in the following list.
Duties may be varied from time to time under the direction of the Healthcare Admin Manager, Deputy, Practice Manager, dependent on current and evolving Practice workload and staffing levels:
- Maintaining security in accordance with Practice protocols
- Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
- Processing and distributing incoming (and outgoing) mail
- Taking messages and passing on information
- Filing and retrieving paperwork
- Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures
- Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
- Clearing and re-stock consulting rooms as required
- Assist in preparation & setting up of the working environment & nursing clinical rooms for appropriate procedures & maintaining the organisation of them
- Set up clinic templates on to the IT system
- Co-ordinating the ordering & maintaining supplies used within the nursing team
- Providing clerical assistance to Practice staff as required from time to time, including word/data processing, filing, photocopying and scanning
- Ordering, re-ordering and monitoring of stationery and other supplies
- Dealing with clinical waste in line with practice health and safety policy
- Keeping the reception areas, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
