Muskoka Algonquin Healthcare (MAHC) is a multi-site organization that includes the Huntsville District Memorial Hospital Site and the South Muskoka Memorial Hospital Site, and together we provide outstanding, integrated care to support people in living their healthiest lives.
The Executive Assistant provides high-level administrative support to leadership within the People and Stakeholder Relations portfolio. This role involves coordinating meetings, managing schedules, and assisting with project planning, execution, and reporting, while ensuring deadlines are met and communication flows effectively. The Executive Assistant also plays a key role in document management, supporting committee functions, and assisting with departmental priorities, all while fostering collaboration and maintaining professional relationships with internal and external stakeholders.
ROLE Provide confidential administrative support to the Vice-President and leadership team within the portfolio
Coordinate projects by maintaining schedules, tracking milestones, monitoring progress, and supporting project administration
Prepare and edit meeting agendas, minutes, presentations, reports, and other professional documentation
Coordinate committee and Board-related meetings, including logistics, action items, and follow-up activities
Manage calendars, correspondence, document management, and records retention for senior leaders
Assist with the development, review, maintenance, and tracking of departmental policies, procedures, and manuals
Research, analyze, and prepare information, reports, and presentations for internal and external stakeholders
Support organizational planning initiatives, monitor project compliance, and assist with budget tracking and coordination
Plan and coordinate special events, recognition programs, and stakeholder engagement activities
Collaborate across departments to track organizational priorities, support communication initiatives, and ensure the smooth flow of information
QUALIFICATIONS Post-secondary education (degree or diploma) in a related field or equivalent experience required
3 years related experience in a not-for-profit or healthcare-related sector
Advanced computer skills and experience with Microsoft Office Word, Excel, PowerPoint, Teams and Zoom
Experience with project management & event coordination
Ability to time manage, prioritize, and multi-task to tight deadlines

ADDITIONAL INFORMATION
Location:
Multi-Site, working on site at both the South Muskoka Memorial Hospital (SMMH) located in Bracebridge and Huntsville District Memorial Hospital (HDMH) located in Huntsville. Applicants must reside within 125km of one of our hospital campuses or be willing to relocate prior to starting.
Hours of Work: Regular hours of work are Monday to Friday from 8 am - 4 pm. Shifts and hours may change according to departmental requirements.
