Financial Coordinator (On-Site)

Location:On-site
Reports to:CFO
Aeroex Technologies designs and manufactures industrial air filtration and mist collection systems for metalworking and industrial environments across Canada and the U.S. As we continue to grow, we’re hiring an on-site
Financial Coordinator
to manage core accounting operations and support the CFO with financial reporting and U.S. tax/compliance coordination.
- Accounts Receivable (A/R): invoicing, payment tracking, customer account reconciliation, collections support
- Accounts Payable (A/P): vendor bills, payment preparation, vendor maintenance, statement reconciliation
- Expenses: process and reconcile employee expense reports
- Intercompany / intra-company transfers: execute, track, and document transfers with accurate posting and backup
- Day-to-day accounting admin and data entry in
Quick Books Online (QBO)(or similar systems) - Maintain clean, organized, audit-ready financial records
- Gather, prepare, and organize documentation forU.S. federal, state, and local compliance
(income tax support, payroll tax support, sales/use tax support, information returns) - Monitor thresholds and registration triggers (nexus indicators, filing requirements) and flag risks or changes
- Support tax registrations, account setup/maintenance/updates under CFO direction
- Track filing deadlines and support on-time submissions
- Maintain accurate, audit-ready tax documentation
- Prepare schedules, summaries, reconciliations, and reports for CFO review
- Assist with internal reporting and month-end support
- Coordinate with external accountants, payroll providers, and advisors as needed
- Support record retention and document management requirements
- Post-secondary education in accounting, finance, business, or related field
- 2+ years in an accounting/bookkeeping/finance coordination role (preferred)
- Hands-on experience withA/R, A/P, expenses, reconciliations
- Experience supporting U.S. accounting and compliance workflows
(e.g., coordinating documentation for U.S. tax filings, sales tax reporting support, payroll tax support, multi-state compliance admin, working with U.S.
-based CPAs/payroll providers) - Strong attention to detail, deadline management, and confidentiality
- Comfortable with
Quick Books Online
and spreadsheets - CPA/EA or progress toward a designation is an asset, not required
- On-site role
with close collaboration across finance, operations, and leadership - Higher workload may occur during month-end and tax filing periods
