Office Administrator/ Coordinator
This position is responsible for tracking, maintenance, analysis, and reporting of program data, monitoring and providing data collection reports, facilitating data meetings, tracking program invoicing and overall administrative support to the Community Partnership School Model
TM and Director of Community Partnership Schools.
Establish and maintain positive working relationships with families, community members, school staff and other stakeholders
Proficiency in MS Office Excel
Develop new or maintain existing databases based on specifications
Input and extract data from various data sources, store in databases/spreadsheets
Manage and generate weekly/monthly/quarterly reports, charts and graphs that reflect summary of the data
Reconcile various data systems to identify and correct data discrepancies and anomalies
Create and execute ad hoc queries on existing data systems as needed
Complete data entry and data cleanup projects as needed
Compile and distribute reports, presentations, and other statistical materials as requested
Maintain files and supporting documentation for each pillar in alignment with Community Partnership Schools Model and Certification requirements.
Coordinate, and facilitate data committee meetings, work groups, and events
Provide administrative support to the Director and the Community Partnership Schools
Serve as point of contact for data management needs
Maintain calendar, notices, agendas, and meeting minutes for all CPS related meetings.
Assist with communications to stakeholders to include letters, invitations, flyers, newsletters, surveys, and phone communications.
Participate in all designated CPS meetings and activities; serve as an active member and creative partner for the Community Partnership School program team
Maintain effective mechanisms to facilitate timely delivery of invoices
Process and code bills, payments, invoices; submit and track funding requests
Maintain quality improvement to monitor services
Participate in the quality improvement process.
Perform special projects as assigned
Other duties as requested
Required Qualifications:Bachelor’s degree in Business, Computer Science, Information Systems, or related field preferred. Requires proficiency using MS Office applications, including Word, PowerPoint, Access, and Excel. Two years’ experience in database collection and management, spreadsheets, creating charts and graphs.
