Individuals in this position perform a variety of support services assignments, and other tasks consistent with the needs of the agency. Strong typing skills, good organization skills, and the ability to work with minimum supervision are prerequisites of this position.

Primary Duties and Responsibilities
Initiate and complete the morning reports, including but not limited to, Bed Assignment Log, Daily Census Task Ticket, Census, Census Money Tracking, Visits w/ no Payer Report, Day of Care, Room and BoardInsure that all electronic heath records are up-to-date.Responsible for the personnel scheduling for assigned personnel including tracking call offs, leaving early, and finding shift coverage.Reconcile, per policy, the petty cash. Submit reports to supervision for approval and forward to accounting in administration when complete.Purchase sundry supplies from local approved vendors. Initiate appropriate purchase/requisition orders to support purchases to supervisor for approval. Send completed forms/purchase receipts to accounting in administration.Assigned as the Credible Super user.Responsible for the UA/report/chart, hospital referrals, purchase orders, work orders, safety checks.Verify and escort vendors who are supplying each unit with product. Sign and verify products received on the units. Send signed receipts to accounting in administration.Confirm psychiatric appointments with the person served and unit supervision.Verify received invoices for products received by each unit via UPS, Fed EX, USPS or other shipping source, make sure necessary signatures are on them, and send to Accounts Payable.Receive and document any payments for the person served. Make the necessary deposits into the approved bank.Prepare all End of Month Reports including, but not limited to, Fire and Safety, Supervisor Inspection of all vehicles, Monthly drills, UA Logs, Mileage Logs, Hospital Referral Logs, Ineligibility to Service Logs, P/S surveys, Tampon/Pad logs to the Unit and Residential Director.Oversee and prepare all TANF forms making sure that Admissions/Discharges are timely.Designates individuals who prepare the Peer Reviews, and collect these forms and give to the Supervisor three (3) days before the QAI meeting.Head up the Care Coordination Team.Answers incoming telephone calls responds to program question from the caller and routes calls as appropriate.Has primary responsibility for entering into the electronic health record preliminary functions including patient chart set up, setting-up person served billing records, entering charges/payments, and writing off unpaid balances per agency policy.Provides information and answers questions about the agency when phone calls or written inquiries are received.Coordinates the transportation needs for the person served on an as needed basis.Performs other reasonable and related duties as assigned.Minimum Training and Experience
A high school diploma or GED and at least three (3) years of secretarial/clerical experience are required. Successfully completed studies beyond the high school level may be substituted for the required experience at the rate of 720 classroom hours or 30 college credit hours per year. This position requires the working knowledge of the following computer software programs or equivalent:
Microsoft Windows, Microsoft Word, and Excel.
