Position: Part-Time Office Manager (Contract)

POSITION SUMMARY

We are seeking a highly organized and detail-oriented individual to provide administrative support on a part-time, contract basis
. The ideal candidate will have strong communication skills, proficiency with common office software, and the ability to manage multiple tasks efficiently. We would like this person to work 4 hours Tuesday Morning and 4 hours on Thursday or Friday each week.

JOB FUNCTIONS/RESPONSIBILITIES
  • Manage daily operations of the Basel office, ensuring smooth functioning and organization.
  • Manage office supplies inventory, coordinating orders to ensure necessary materials are always available.
  • Serve as the primary point of contact for all service providers related to facilities management, including the landlord and external vendors.
  • Coordinate and manage facilities requests for the Basel office, liaising with external service providers as needed.
  • Maintain correspondence, manage incoming post, and ensure effective communication with the Basel team.
  • Maintain and organize digital files and records.
  • Assist HR with administrative tasks, including onboarding new hires and supporting employee relations activities.
  • Collaborate with the IT department to manage office equipment, including hardware requests for employees.
  • Coordinate bi-weekly lunch meetings.
  • Schedule meetings, coordinate calendars, and organize dinners for special events.
  • Perform other administrative tasks as assigned.
QUALIFICATIONS AND SKILLS
  • Experience in office and facilities management, preferably within healthcare or biopharmaceutical industries.
  • Experience working in a multicultural, English-speaking environment.
  • Highly motivated team player with determination and a problem-solving attitude.
  • Excellent written and verbal communication skills.
  • Fluency in both German and English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational and multitasking abilities.
  • High level of attention to detail.
