Job Description

  • Provide high-level administrative support to senior stakeholders and Legal teams
  • Manage complex calendars, meetings, travel arrangements, and expense processes
  • Prepare agendas, presentations, meeting materials, and minutes
  • Coordinate and facilitate virtual meetings via Teams and Zoom
  • Support contract and document management, including signature coordination and filing processes
  • Maintain legal repositories, SharePoint sites, Teams folders, and organizational documentation
  • Assist with onboarding activities and support training coordination
  • Organize meetings, workshops, engagement initiatives, and team events
  • Draft, proofread, and manage internal and external business communications
  • Coordinate document retrieval, scanning, archiving, and compliance-related requests
  • Act as a key contact for facilities, IT, and operational support matters
  • Identify opportunities to improve administrative processes and drive operational efficiency
About The Customer

This position provides comprehensive administrative and operational support to senior leaders within a global Legal function. Working as part of the Legal Services team, you will help ensure the smooth delivery of day-to-day operations, support internal stakeholders, and contribute to the continuous improvement of processes and ways of working. The role also plays an active part in engagement, learning, and communication initiatives while fostering strong relationships across Legal and cross-functional teams in a collaborative, international environment.

Requirements
  • Several years of administrative experience (legal department/law firm experience is a plus)
  • Strong organizational, communication, and stakeholder management skills
  • Proficient in MS Office, Teams, Zoom, and Share Point
  • High level of discretion, attention to detail, and ownership
  • Fluent English and good German skills required
  • Bachelor's degree or equivalent experience preferred
