Patent Secretary - Basingstoke

We are seeking a highly organised and proactive Patent Secretary to join a busy intellectual property team based in our Basingstoke office. This is an excellent opportunity for a Secretary with at least 12 months' experience in an IP environment who is looking to develop their career within a professional and supportive firm.

The successful candidate will play a key role in supporting patent attorneys and ensuring the smooth administration of client portfolios. This position requires strong attention to detail, excellent communication skills and the ability to manage multiple deadlines in a fast-paced environment.

Key Responsibilities

  • Preparing correspondence and other documentation in relation to patent matters
  • Communicating with clients, foreign associates and other external contacts in a professional manner
  • Maintaining and updating internal records and databases, including the firm's IP management system
  • Providing tailored administrative support to meet specific client requirements, including working with client document management systems and portals
  • Preparing and issuing invoices and assisting with billing-related tasks
  • Managing incoming, outgoing communications and ensuring accurate record keeping
  • Supporting attorneys with diary management, deadlines and general administrative tasks where required

Skills & Experience

  • Minimum of 12 months' secretarial or administrative experience within an intellectual property environment
  • Excellent written and verbal communication skills
  • Strong organisational skills with the ability to prioritise tasks and manage competing deadlines
  • A positive, proactive attitude with a strong team-oriented approach
  • High level of accuracy and attention to detail
  • Experience with IP management systems (such as Inprotech) and invoicing processes would be advantageous
  • Proficiency in Microsoft Office and general office systems

Working Arrangements

This role is based in the Basingstoke office. During the initial probationary period, approximately 80% office attendance is expected to support onboarding and training. Following this period, the role offers a hybrid working arrangement with around 60% office attendance.
