Job overview

This post provides board level, high quality, professional and confidential provision of a board range of administrative/secretarial and project/event management support to the Chief Medical Officer (CMO), Deputy Chief Medical Officer (DCMO) and Head of Chief Medical officer’s (CMO) Service. They work as part of the wider management offices administrative support team ensuring that the office of the Chief Medical Officer runs smoothly and effectively.

Detailed job description and main responsibilities
  • To proactively manage the diary of the CMO and DCMO, maximising efficiency and ensuring all pre-meeting information is available in easily accessible electronic format in good time to review before meetings.
  • To keep up to date records and information for the purpose of internal and external evaluation.
  • To provide wide-ranging administrative and secretarial support to the CMO Service.
  • To deal efficiently and sensitively with calls and emails; able to understand and resolve difficult issues and to refer appropriately to other individuals across the organisation.
  • To work as part of the wider management offices team and to deliver the highest possible quality service and provide cover where necessary to other Board members in absence of their immediate executive assistant.
  • To work closely and cooperate with the chairman and executive assistants in respect of their diaries and to find mutually agreeable solutions to complex diary workload management.
  • Regular liaison with the Divisional Medical Directors (DMD) including close working relationship with the DMD PAs.
  • Oversee the management of the inbox of the CMO / DCMO, responding to emails, prioritising and dealing with the urgent issues in a timely way.
  • To coordinate and ensure forward planning and monitoring progress of actions to ensure deadlines are met to facilitate the efficient running of the CMO portfolio.
  • Responsible for interpreting complex facts or data and progressing any issues with senior managers and clinicians within the Trust on behalf of the CMO.
  • Working as a member of the wider Executive administrative team contributing to the delivery of projects plans, identifying risks, issues and dependencies, considering best practice and current options.
