As the Specialty Administrator within the HHFT Orthopaedic Service, you will strive for excellence in supporting patients through their care pathway.
The role will flex dependent on the needs of the service providing a balance of general administration, reception and other duties commensurate with the banding of the post in order that our patients have a high quality patient pathway experience in line with NHS Constitutional Standards.
You will promote best practice, ensuring that administration is delivered to the standard the service expects, escalating issues and concerns as appropriate in a timely matter so as not to affect patient care.
You will primarily be based at Royal Hampshire County Hospital or Basingstoke Hospital depending on the base location of the vacant role.
Main duties of the jobTo act as a receptionist for the Orthopaedic Department, greeting all patients, relatives and visitors with courtesy. Answering queries whenever possible or referring enquiries to an appropriate member of staff. Responsible for using our EPR system correctly to record the attendance of patients in line with the Trust E-Outcoming Policy. Responsible for ensuring all patient E-Outcomes are actioned as per the Orthopaedic Outpatient Process and Outpatient Booking Policy, using OPWLs as appropriate.
Responsible for the booking/cancellation of all trauma and elective follow-up appointments and trauma ward discharge appointments via Patient Centre in line with the Orthopaedic Outpatient Booking Process and E-Outcoming Process. Responsible for checking patient demographic details, general practitioner, next of kin, ethnic origin, in line with the Trust and Government requirements and correctly recording those via Patient Centre. To direct patients to the appropriate waiting area, Plaster Room, Treatment Room, X-ray etc.
To answer the telephone using our Netcall System in a polite and timely manner. To ensure all appointment letters are printed via Patient Hub daily. To provide additional support as and when required by the Band 5 Orthopaedic Admin Manager during periods of annual leave and sickness. To attend monthly local departmental meetings.

Person Specification Training & Qualifications- Good standard of basic education with GCSE English Language or comparable relevant work experience
- NVQ Level 3 or equivalent experience as below
- ECDL, other information technology/word processing qualifications
- Experience of working with IT systems e.g. Word/Excel/Access/ Power Point
- Experience of being in a busy environment
- Experience of adhering to targets
- Experience of organising own work
- Experience of working in an NHS environment or public sector
- Knowledge of Medical Terminology
- Good verbal and written communication skills including excellent telephone manner
- Problem solving skills and using own initiative
- Experience of a variety of computer systems; including data entry, word processing, data analysis
- Excellent Interpersonal skills allowing effective communication between all internal and external customers
