TITLE:
Document & Inventory Controller

POSITION INTRODUCTORYWork closely with Flavourists and oversee planning and coordination of lab samples & formulations to ensure on time and on quality delivery of prototypes.
Develop, implement, and maintain document control procedures and systems to support Flavour House operations and project activities.
Draft, update, and maintain Standard Operating Procedures (SOPs) related to document control, lab operations, and sample workflows.
Maintain a centralized and secure digital archive of all controlled documents, formulation sheets, reports, and specifications.
Support lab operations, including inventory management, raw material tracking, and general lab coordination.
Support project meetings by preparing document summaries, tracking action items, and ensuring documentation flow.
RESPONSIBILITIES- Work closely with flavourists and cross functional teams to ensure successful submission of flavour samples and on time delivery of projects.
- Manage and maintain project related documentation to ensure accuracy, version control, and accessibility.
- Implement document control systems and ensure compliance with internal standards and audit requirements.
- Track and follow up on project timelines, deliverables, and documentation flow across cross-functional teams.
- Support project meetings by preparing document summaries, tracking action items, and ensuring timely communication.
- Contribute to the continuous improvement of document control workflows and digital tools.
- Any Ad-hoc initiatives and duties assigned from time to time by the management team.
- Manage raw material inventory, coordinate stock replenishment, and ensure proper storage and documentation.
- Draft, update, and maintain Standard Operating Procedures (SOPs) for lab activities and sample workflows.
- Collaborate closely with team for ongoing sourcing and procurement of specific equipment, consumables, and chemicals.
- Ensure timely maintenance and preventive maintenance of all laboratory equipment to ensure that it is in good condition.
- Provide support for audits or internal reviews involving lab operations or documentation.
- Facilitate the application of licenses and liaise with the relevant authorities for license/permit issues relating to safety, such as NEA, SCDF.
- Enhance the existing laboratory process and make recommendations for improvement.
- Minimum 3–5 years of relevant experience in document control, lab coordination, or project support.
- Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced setting.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint); familiarity with document management systems (e.g., SharePoint, SAP DMS) is a plus.
- Knowledge of product development, project management, laboratory activities, with exposure to technical/R&D environments is a plus.
- Effective communication and coordination skills to work cross-functionally.
- Excellent attention to detail, especially in documentation accuracy and process compliance.
- Self-motivated, collaborative and proactive in identifying and solving issues.
