Executive, Commercial; Ship Conversion & Special Project

Job Summary

Commercial Executive – Ship Conversion & Special Project responsible for managing the end‑to‑end tendering process—from receiving client RFQs (Request for Quotations), through pre‑awarded, contract awarded and project closing phases.

• Pre‑Awarded
  • Receiving RFQ from client.
  • Reviewing RFQ and preparing high‑level summary for technical and commercial proposal.
  • Holding briefings with Project, Engineering, Planning, Production, QA/QC, Procurement and HSE departments to gather required documentation.
  • Raising technical clarifications to the client when necessary.
  • Conducting sanction checks on company and vessel.
  • Building cost estimates for material, labor, subcontractor and other cost factors based on specifications.
  • Reviewing preliminary schedule and manpower loading from the planner.
  • Preparing estimate cash‑flow for payment milestone/terms.
  • Preparing executive summary deck for management & BOD approval.
  • Collecting data from Production, Planner and other departments for the technical proposal.
  • Submitting technical and commercial proposals.
  • Following up on draft contract with legal for review.
  • Following up closely with clients and requesting feedback on our submission.

  • Monitoring draft contract and coordinating legal vetting between owners’ legal team and yard legal.
  • Reviewing final draft contract for management signature.
  • Following up on PO.
  • Handing over tender documents, contract and PO to Billing Officer / Invoicing Team.
  • Conducting handover meeting with Project Manager, Billing Officer, Production, Engineering, Planning, Procurement and QA/QC teams for order preparation of long‑lead items/bulk material.
  • Filling and documenting tender paperwork.
  • Assisting Billing Officer / invoicing team with cost planning on SAP.
• Project Ongoing
  • Receiving handover documents from Estimator and conducting handover meetings with teams.
  • Planning cost on SAP and setting up WBS as per WBS booklet.
  • Reviewing payment milestones and issuing invoices accordingly.
  • Preparing and informing project team, Engineering, and procurement for long‑lead order preparation upon drawing approval.
  • Attending kickoff and daily VSCC meetings on board to update status.
  • Reviewing actual progress of completion.
  • Preparing and issuing VOR (Variance Order) based on AWR, remeasurement items, design changes and updated cost impact.
  • Submitting VOR and following up with client for approval.
  • Preparing and submitting VO for EOT and acceleration if required.
  • Weekly review of actual cost captured and forecast cost for material, yard labor, subcontractor and other direct costs.
  • Preparing weekly/biweekly budgetary updates to client including remeasurement items and VOR approvals.
  • Reviewing and monitoring P&L in line with initial CM percentage.
  • Preparing and submitting final invoice inclusive of settlement of final project amount before vessel handover.
  • Once settlement is complete, preparing MOA and following up with invoice.

• Education:
  
  Diploma or Engineering Degree in Marine Engineering or Naval Architecture.
• 2–3 years experience in shipyard/fabrication yard.

• Technical knowledge in basic engineering.
• Ability to review technical drawings and schedules.
• Knowledge of contract review.

Bachelors, Diploma in Marine Engineering or Naval Architecture.
