Senior Medical Secretary

Provide comprehensive secretarial service and support to assigned consultant(s) and their team, including:

  • Word processing, audio typing, scanning and letter composition to produce clinic letters and other documents.
  • Preparing and organising papers for meetings, attending and taking notes when necessary.
  • Liaising with nurses, doctors and multidisciplinary teams including Outpatient Bookings teams.
  • First point of contact for telephone inquiries, taking and relaying messages, prioritising issues and taking action as appropriate.
  • Assisting with consultants’ diaries, organising meetings and rotas.
  • Dealing with incoming correspondence and expediting issues.
  • Dealing with patient complaints and learning from responses.
  • Developing and maintaining computerised filing systems and using IT such as Windows/Office.
  • Providing secure tracing of health records.
  • Providing secretarial cover across the directorate as directed.
  • Assisting in induction of new staff.
  • Flexible to the needs of specialty, division and Trust.
Main duties

Assist the Cardiology Admin Manager in the management of the secretarial staff through:

  • Organising and ensuring the smooth running of secretarial functions.
  • Developing computerised systems for managing information and paperwork.
  • Day‑to‑day supervision of secretarial staff.
  • Carrying out appraisals and performance management.
  • Ensuring appropriate level of cover, coordinating leave and sick leave records.
  • Recruitment, selection and induction of staff.
  • Leading the administrative team in supporting waiting‑list validation and performance management.
  • Maintaining the typing rota and fair workload allocation.
Qualifications & Training
  • Word processing/audio typing qualifications or RSA Level II or equivalent.
  • European Computer Driving Licence (ECDL).
Knowledge & Experience
  • First‑rate knowledge of good secretarial practice.
  • Ability to learn medical terminology and apply it.
  • Experience with in the NHS or similar health‑care setting.
  • Previous medical secretarial experience.
  • Previous supervisory experience.
  • Awareness of hospital practices.
