Receptionist and Support Administrator - Ophthalmology Outpatient Job overview

Receive patients and relatives at reception in a friendly manner. This part‑time role (21.5 hours per week, 3 days a week: Mon, Tue, Thu) supports the Ophthalmology Outpatient team by providing reception and administrative duties.

Proposed days and hours:

  • Mon 08:30‑16:00 – 7 hours
  • Tues 08:30‑16:30 – 7.5 hours
  • Thursday 08:30‑16:00 – 7 hours

This role is ideal for someone who enjoys a fast‑paced environment, takes pride in delivering excellent customer service, and works well as part of a team. You will support both patients and clinical staff, ensuring a positive and efficient outpatient experience.

Main duties of the job
  • Greet patients and relatives at reception in a friendly and courteous manner.
  • Answer all telephone enquiries with an understanding of patient confidentiality, take and relay messages competently and act appropriately.
  • Maintain patient details and appointments efficiently on the patient administration system (Millennium).
  • Process GP and consultant referrals to the Eye Clinic, ensuring that all referral information is accurately logged.
  • Book new and follow‑up appointments for the Eye Clinic.
  • Cancel and re‑book patients as needed.
  • Support the Eye Clinic administration team with booking follow‑up appointments and checking out appointments as required.
  • Monitor and action the department’s generic email inbox and referral inbox.
  • Assist the anti‑VEGF service as and when needed.
  • Liaise with nurses, doctors, GPs and other members of the department to provide a quality service for the patients.
  • Ensure that patient confidentiality is always observed and adhered to, whether in person or by telephone.
  • Carry out other clerical duties as required, including scanning and attaching documents to patient’s electronic records, updating spreadsheets, and RTT/outcome form data entry.
  • Be flexible to the needs of the department to ensure cover and smooth running of the department as a whole.
Detailed job description and main responsibilities

In addition to the above duties, you will cover the Ophthalmology reception desk and undertake other administrative responsibilities to support the department. This includes meeting and greeting patients, entering and updating patient information, completing RTT outcome forms, booking appointments on Cerner Millennium, preparing clinic notes, making and receiving telephone calls, and monitoring/updating emergency referrals in a timely manner.

This fast‑paced role requires excellent computer skills, strong attention to detail and the ability to multi‑task while managing ever‑changing priorities. A high level of flexibility is essential, as the post holder will be expected to adapt to the changing needs of the department at any time and support service delivery as required. A positive, flexible approach to workload and teamwork is key.

Full training will be provided.
