Job SummaryThe Procurement Specialist will provide essential support to the Procurement team by managing administrative tasks, maintaining accurate records, and facilitating seamless operations for procurement activities. This role is critical in ensuring the smooth execution of purchase orders, vendor setup, subcontract management, and compliance with company policies and project requirements.
The ideal candidate will assist in maintaining procurement logs, coordinating vendor meetings, resolving accounts payable/receivable discrepancies, and supporting team members during absences. They will also liaise with IT for reporting updates and ensure up-to-date compliance documents for subcontractors. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced industrial construction environment.
Responsibilities- Data Management:
Assist the Procurement team by performing data entry for purchase orders (POs), change orders, subcontracts, and related documents. - Vendor Setup:
Prepare new vendor setup documentation and route it for Procurement Management approval. - Insurance Compliance:
Maintain up‑to‑date subcontractor Certificates of Insurance for ongoing projects, ensuring compliance with company requirements. - Event Coordination:
Coordinate local vendor meetings, procurement team training sessions, and other logistics as needed. - Record Keeping:
Input and maintain accurate data and records in the procurement log to ensure transparency and efficiency. - Discrepancy Resolution:
Support the procurement team in resolving accounts payable (AP) and accounts receivable (AR) discrepancies. - IT Coordination:
Submit requests to IT for creating new procurement reports or updating existing forms to meet current project needs. - Overhead Procurement:
Process overhead purchase requisitions for the Baton Rouge office and maintain the overhead procurement log. - Invoice Processing:
Assist with invoice processing and the closeout of ongoing projects, ensuring all documentation is accurate and complete. - Team Support:
Provide backup support to the Procurement team during absences, including covering for team members on PTO.
- 0‑2 years’ experience in a related function within the industrial construction industry.
- Bachelor's degree in supply chain management, or a related field is preferred.
- Familiarity with construction materials, equipment, and services used in the industrial construction industry.
- Exposure to Contracts/Subcontracts formation and bid process would be an asset.
- Knowledge of procurement principles, practices, and regulations.
- Strong negotiation, communication, and relationship‑building skills.
- Proficiency in using procurement software and MS Office Suite.
- Proficiency with Viewpoint is preferred.
- Proficiency with inventory management preferred.
- Communicate effectively verbally and in writing.
- Excellent analytical skills and attention to detail.
- Ability to work effectively in a fast‑paced, deadline‑driven environment.
- Willingness to travel to project sites as required.
