Position: Medical Secretary II Bronson Radiation Oncology Full Time 80hrs./PP

Medical Secretary II – Bronson Radiation Oncology – Full Time (80hrs/PP)

Location:

BBC Bronson Battle Creek

Responsibilities:

  • Complete surgery scheduling of patients for physicians in the practice.
  • Obtain necessary insurance authorizations for surgical cases.
  • Provide codes for surgical cases for insurance authorization.
  • Review work queues and post charges into Practice Management System for provider hospital and office billing.
  • Validate documentation with correct dates of service and confirm selection of appropriate billing codes.
  • Run reports (e.g., Charge Summary) as necessary for physician review and CBO.
  • Maintain spreadsheets tracking authorizations and surgical case/procedures.
  • Relay messages to providers and perform general clerical duties including internal/external correspondence and answering telephones.
  • Complete required forms or letters as necessary.

Additional Clinical Duties (Trauma):

  • Assist with scheduling of meetings, documentation of minutes, depositions, rep visits.
  • Responsible for patient clinic scheduling, FMLA paperwork, prescription refills, and follow-up care.
  • Maintain call calendars within practice and Bronson Call systems.

Infusion Scheduler Duties (optional):

  • Schedule chemotherapy appointments and related procedures at the Bronson Cancer Center – Kalamazoo.
  • Make schedule changes as needed for patient or provider schedules.
  • Ensure an accurate and safe schedule for the Cancer Center infusion room.
  • Confirm treatments have an authorization prior to scheduling.
  • Communicate with patients regarding appointment updates.

Qualifications:

  • High school diploma or general education degree (GED) required.
  • 6-12 months coding experience in a health care setting preferred.
  • CPC preferred.
  • Medical Assisting Certificate required for Trauma duties.
  • Knowledge of ICD‑9 and CPT coding with emphasis on area of specialty.
  • Strong medical terminology.
  • Proficiency with word processing, spreadsheet, presentation programs, databases, and other software relevant to the job.
  • Excellent communication skills (oral, face to face, telephone, written) and positive customer relations orientation.
  • Ability to work independently and demonstrate effective problem solving.

Physical and Mental Demands:

  • Requires regular walking, standing, stooping, bending, sitting, and light weight lifting.
  • Work may involve high levels of mental/visual fatigue and close tolerances.
