Job Description

The Project Administrator provides critical administrative support to Construction Managers and Field Representatives across the Eastern Division. Responsibilities include coordinating documentation, managing contractor payables, ensuring compliance with company policies, and facilitating accurate billing and invoicing.

Responsibilities
  • Manage contractor payables, customer billings and receivables.
  • Ensure compliance with standards, pricing policies and WTI documentation procedures.
  • Process and document change orders, manage financial data entry and vendor contracts.
  • Coordinate communication with Field Resources, Customers and internal stakeholders.
  • Track project time and expenses, monitor planned vs actual costs, and verify billing accuracy.
  • Prepare customer invoices using book pricing, T&M, NTE limits and lump‑sum pricing.
  • Maintain comprehensive project tracking spreadsheet and perform project closeout audits.
Qualifications
  • Business Management, Administration or equivalent education.
  • 4–7 years of related experience in project administration, construction accounting, or public procurement.
  • Knowledge of Sarbanes‑Oxley, prevailing wage, and contract administration.
  • Strong organization, prioritization, and time‑management skills.
  • Excellent written and verbal communication, with proficiency in Microsoft Office and project management software.
  • Ability to collaborate across customer, field, and internal teams.
