Administrative Assistant IV 9-1-1 EMERGENCY NETWORK
GENERAL DESCRIPTION
Performs advanced administrative support or technical program assistance work. Work involves coordinating or overseeing high-level administrative operations within the agency or division. May assign and/or supervise the work of others. Works under limited supervision with considerable latitude for the use of initiative and independent judgment.
EXAMPLES OF WORK PERFORMED
- Develop administrative procedures, standards, and methods.
- Coordinate the preparation, editing, and distribution of correspondence, reports, studies, forms, and documents.
- Oversee the review and evaluation of work content for the purpose of developing effective administrative practices and formulating policies that may contribute to the improvement of public services provided by the agency.
- Coordinates work with other governmental agencies and private organizations.
- Advise the 9-1-1 Director on administrative matters within the agency.
- Provide technical administrative assistance to the 9-1-1 Director.
- Assist in planning, preparing, or overseeing the preparation of reports.
- May assist the 9-1-1 Director with general human resource management actions.
- May assist in budget preparation.
- May assign and/or supervise the work of others.
- Perform related work as assigned.
- Assist with preparation of map books as needed.
- Track Department Director’s expenditures for reimbursement.
- Verifies staff cell phone charges.
- Orders, distribute and keep logs regarding 9-1-1 public education materials.
- Performs other duties as assigned.
- Maintain record keeping, filing system, and order office supplies
- Answer phone calls, route incoming calls, take messages, greet visitors
GENERAL QUALIFICATION GUIDELINES
Experience in administrative support work or the technical program area. Graduation from an accredited four-year college or university with major course work in field related to program area is generally preferred. Experience and education may be substituted for one another.
Knowledge of office practices, administrative procedures and standard office equipment (computer, facsimile, copies, etc.). Extensive skill with software (Microsoft Office – Word, PowerPoint, Excel, Outlook, Publisher, Access; Adobe Photoshop, Adobe Design, etc.). Skill and ability to work independently or in a team environment. Ability to implement administrative procedures; interpret rules, regulations, policies, and procedures. Communicate effectively, and train others.
