Administrative Assistant II – Mary and John Charitable Foundation

. The Administrative Assistant will work full time Mon‑Fri 8 AM‑5 PM onsite at 360 Route 101 in Bedford, NH.
Under the supervision of the Vice President/Chief Philanthropy Officer (Mary & John Elliot Charitable Foundation), the Administrative Assistant will support critical administrative functions for fundraising programs, including donation processing, constituent data entry, donor communications, and support for fundraising events.
Additionally, the role will provide administrative support for community benefit programs.
Responsibilities- Manage the administrative offices, scheduling meetings, answering phone calls, greeting visitors, opening/distributing mail, filing documents, photocopying, and ordering supplies.
- Arrange business travel and associated accommodations; process invoices, travel expenses, and reimbursements.
- Assist the Vice President and Chief Philanthropy Officer with department budgets.
- Promote special events for the Foundation (e.g., golf tournament, gala, garden party, cancer walk).
- Sends sponsorship invoices, records event gifts, and sends acknowledgement letters to donors for events and annual fund donors; prepares and distributes CEO thank‑you letters to donors $1,000 and above.
- Provide administrative support for the annual appeal, including recording and acknowledging gifts, providing financial reports, and processing monthly payroll donations.
- Record the receipt and disbursement of department funds in Quick Books; interface with restricted fund accounts and Finance Department.
- Serve as lead liaison with Finance on all Foundation gift entry, transfer, balancing, budgeting, reports and record integrity.
- Manage and execute registration, auction and checkout processes for annual special events.
- Provide support to Vice President and Chief Philanthropy Officer for capital campaign program as needed.
- Provide technical support for the VNA of Manchester and Southern NH with gift‑management and acknowledgment and Raisers Edge support.
- Associate’s Degree in finance, business or related field required.
- 5–7 years of fundraising operations, finance, or project management experience required.
