Overview
Performs routine administrative support work. Includes disseminating information; maintaining filing systems; and preparing and editing reports and documents. Works under moderate supervision with limited latitude for initiative and independent judgment.
Essential Functions- Types and performs word processing; prepares, edits, and distributes correspondence, reports, records, and other documents ensuring conformance to rules, regulations, policies, and procedures.
- Performs data entry and retrieval and prepares related reports; compiles, organizes, and tabulates data; makes copies; and maintains files and records, including automated information systems.
- Maintains logs of work progress, document processing, and other records; assists in the maintenance of complex records.
- Answers telephones; responds to requests for information; and answers inquiries regarding rules, regulations, policies, and procedures.
- Performs a variety of marginal duties not listed, to be determined and assigned as needed.
Education, Experience, and Training
- High‑school graduation or equivalent GED.
- One year full‑time, wage‑earning customer service, clerical, secretarial, administrative support, or technical program support experience. Thirty semester hours from an accredited college or university may substitute for each six months of experience.
- Computer operations experience preferred.
Knowledge and Skills
- Knowledge of office practices and procedures.
- Knowledge of business terminology, spelling, punctuation, and grammar.
- Knowledge of agency and departmental structure, policies, procedures, rules, and regulations preferred.
- Effective communication of ideas and instructions clearly and concisely.
- Coordination with other staff, departments, officials, agencies, organizations, and the public.
- Interpretation and application of rules, regulations, policies, and procedures.
- Problem‑solving techniques.
- Preparation and maintenance of accurate records, files, and reports.
- Proficiency with computers and related equipment in both stand‑alone and local area network environments.
- Typing speed of at least 45 words per minute with no more than 10 errors (preferred).
- Physical ability to walk, stand, sit, kneel, push, stoop, reach, grasp, pull, bend, climb stairs, identify colors, hear (with aid), see, write, count, read, speak, analyze, alphabetize, lift, and carry under 15 lbs.
- Exposure to indoor environments, moving machinery and parts, radiant and electrical energy, close contact with others, solo work, protracted or irregular hours, and travel by car, van, bus, and airplane.
- Use of equipment such as computers, calculators, copiers, fax machines, telephone, dolly, and automobile.
