About the role
We are seeking an experienced Executive Assistant to join PT Berkah Bekasi Ops in Bekasi, West Java. This is a full-time position offering the opportunity to provide high-level administrative and organisational support to senior management. As Executive Assistant
, you will be instrumental in ensuring the smooth day-to-day operations of the executive office, managing schedules, communications and strategic initiatives. This role is pivotal in enhancing executive productivity and supporting the organisation's operational excellence.
- Managing executive calendars, scheduling meetings, and coordinating travel arrangements for senior management
- Preparing meeting agendas, taking minutes and distributing meeting notes to stakeholders
- Handling incoming and outgoing correspondence, emails and telephone communications on behalf of executives
- Organising and maintaining filing systems, both physical and digital, ensuring confidential information is properly secured
- Drafting, formatting and proofreading documents, reports and presentations for executive use
- Coordinating with various departments to ensure seamless communication and project management
- Managing expense reports, invoices and other financial documentation
- Assisting with event planning and coordination for company functions and meetings
- Performing research and compiling information to support executive decision-making
- Maintaining confidentiality and discretion when handling sensitive company information
- Proven experience of at least 1 years working as an Executive Assistant, Personal Assistant or similar administrative role in a professional environment
- Excellent organisational and time management skills with the ability to manage multiple priorities simultaneously
- Strong written and verbal communication skills in English and Indonesian, with the ability to communicate professionally with all levels of staff
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office management software
- Advanced discretion and ability to handle confidential information with integrity
- Proactive approach with strong problem-solving abilities and attention to detail
- Ability to work independently and as part of a team, supporting executive objectives
- Professional demeanour and exceptional interpersonal skills
- Experience with scheduling software and virtual meeting platforms is advantageous
- Knowledge of local business practices and cultural awareness in Indonesia is preferred
