THE EMPLOYER IS: GEMS NIThe Front of House Receptionist is the first point of contact for visitors, clients, and callers. This role is responsible for creating a welcoming, professional atmosphere while managing front desk operations, handling enquiries, and supporting day-to-day administrative tasks.

Responsibilities
  • Operating a multi line telephone system (answering, transferring, holding, logging calls).
  • Managing visitor sign in and security procedures.
  • Handling appointment bookings and scheduling systems.
  • Processing incoming and outgoing mail (sorting, logging, distributing).
  • Using Microsoft Office applications (Word for letters, Excel for logs, Outlook for calendars).
  • Maintaining digital and paper filing systems.
  • Data entry into CRM or internal databases.
  • Preparing basic documents (letters, forms, templates).
  • Operating office equipment (printers, scanners, photocopiers, shredders).
  • Following GDPR and confidentiality procedures.
  • Applying health & safety procedures for reception areas.
  • Recording and reporting incidents or visitor issues.
Skills and Qualifications
  • Previous experience in a receptionist, customer service, or front-of-house role preferred.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with a customer-focused approach.
  • Ability to multitask and remain calm under pressure.
  • Good organizational and time-management skills.
  • Proficient in basic computer applications (e.g. email, MS Office).
  • Well-presented, professional, and approachable.
