Your new company A public sector organisation is recruiting for an administrator/ receptionist based in Belfast.
Your new role As the Administrative Assistant & Receptionist, you will act as a key point of contact within the Academic Office, providing essential administrative and front‑of‑house support. Your duties will include:
- Delivering a professional reception service, responding to enquiries in person, by phone, and via email.
- Preparing letters, documents, and presentations using standard templates.
- Maintaining accurate administrative records through data entry, filing, photocopying, and routine record‑keeping.
- Running scheduled reports and extracting information from internal databases to support operational needs.
- Verifying information and flagging any inconsistencies or anomalies.
- Providing administrative assistance across programme, placement, and international activity areas, including mail‑outs, registrations, and general team support.
- Assisting in organising internal and external meetings/events by coordinating room bookings, catering, and relevant materials.
- Managing daily tasks effectively and following established procedures for ordering supplies and processing routine paperwork.
- Working flexibly with other departments when required and contributing to shared team objectives.
