We work in a hybrid, Flexible First way — Regular travel to project sites and contractor locations may be required to support document management activities and project teams. Occasional overnight stays may be needed depending on project demands.
The JobThe Construction Document Controller is responsible for managing and maintaining all documentation related to construction projects, ensuring accuracy, compliance, and timely distribution to stakeholders. This role underpins effective governance and enables seamless collaboration across internal teams and external contractors.
You’ll be the central point of control for drawings, specifications, permits, and all key project documentation — maintaining version integrity, supporting reporting, and ensuring project teams always have access to the right information at the right time. This role is essential to enabling safe, compliant, and well‑coordinated project delivery.
Key Responsibilities- Maintain and control all construction-related documentation (e.g., drawings, specifications, permits) to ensure accuracy, compliance, and timely access for project teams and contractors.
- Implement and monitor document version control processes across all project documentation to maintain governance and prevent errors.
- Coordinate the distribution of documents to internal teams, external contractors, and suppliers to support efficient delivery and informed decision-making.
- Track and report on documentation status and progress to the Project Controls team, highlighting delays or risks for proactive resolution.
- Ensure proper archiving and retrieval of documentation in line with company standards and regulatory requirements to support audits and quality checks.
- Provide guidance and training to project team members on document management systems and best practices to strengthen compliance and efficiency.
- Collaborate with construction managers and planners to ensure documentation aligns with schedules, milestones, and delivery deadlines.
- Provide general support to the wider Project Controls team when capacity allows, assisting with project-related tasks to maintain overall team efficiency.
You’re organised, detail‑driven, and confident managing large volumes of information with a high degree of accuracy. You have strong communication skills, thrive in fast‑paced project environments, and can support a wide range of stakeholders — from engineers to contractors — while keeping documentation compliant and up to date.
You take pride in maintaining order, structure, and quality in documentation processes, and you play a vital role in ensuring projects run smoothly.
Qualifications & Experience- Demonstrable experience in document control or project administration within construction, engineering, or infrastructure environments.
- Experience supporting large‑scale projects or multi‑stakeholder programmes is highly desirable.
- Proficiency in document management systems (e.g.,
Share Point or similar platforms). - Strong understanding of version control processes and governance standards.
- Excellent organisational skills with the ability to manage high volumes of documentation.
- Competent in Microsoft Office (Word, Excel, Outlook).
- Knowledge of construction terminology, compliance requirements, and project workflows.
- Familiarity with project controls principles and the importance of documentation in supporting governance.
- Understanding of health, safety, and quality standards within construction environments.
- Minimum GCSEs or equivalent required.
- Further education in construction, engineering, or project management is desirable.
- Document control or records management certification advantageous.
- Familiarity with ISO standards for document management (e.g., ISO 9001) preferred.
- Project management certifications (e.g., APM Foundation) beneficial but not essential.
- Highly organised with exceptional attention to detail.
- Strong communicator able to work effectively with diverse project teams.
- Process‑driven and proactive in maintaining documentation quality.
- Confident using digital tools, systems, and structured filing processes.
- Dependable, collaborative, and committed to high standards of compliance and accuracy.
