Description

The purpose of this role is to support the effective operation of the National Secretary’s Office by working closely with the National Secretary to coordinate their key deliverables, work streams and wider organisational priorities. The Coordinator to the National Secretary focuses on tracking, coordination, and delivery assurance, working alongside the National Secretary’s Personal Assistant to ensure that National Council and National Board decisions are translated into action and that organisational outcomes are achieved.

In addition, the role acts as a key interface between the National Secretary, Executive Team, and wider organisation, driving accountability and ensuring that priorities of the National Secretary’s Office are clearly defined, aligned, and executed across directorates.

The role requires judgement and initiative to interpret high-level direction from the National Secretary, to identify delivery pathways and ensure outcomes are achieved across complex, multi-functional work streams.

Key Responsibilities
  • Drive organisational accountability by supporting the National Secretary to ensure actions agreed at National Board and National Council are owned, progressed, and delivered, to include holding stakeholders to account through structured tracking and follow‑up and identifying and escalating any associated risks where required.
  • Act as a trusted liaison between the National Secretary and internal/external stakeholders – developing and maintaining strong, influential relationships and ensuring clear communication, effective collaboration, prompt resolution of issues, and shared ownership of outcomes.
  • Liaise with National Board, National Council, and Branch representatives as required, to include representing the National Secretary, where appropriate, in meetings and interactions, ensuring continuity and professionalism.
  • Draft high‑quality briefing papers, reports, correspondence, and presentations on behalf of the National Secretary, suitable for Executive and Board‑level audiences.
  • Create and provide reporting that gives cohesive insights, identifies organisational trends, risks, and performance issues, and present these to the National Secretary to support their effective decision‑making.
  • Oversee the collection, consistency, and timeliness of Directors’ updates, identifying key risks, themes, and actions, maintaining tracking systems, and supporting summary reporting.
  • Coordinate and support National Council and National Board meetings, including preparing and drafting submission papers, attending meetings to provide assistance, and ensuring outcomes, reporting, and delivery status are effectively communicated.
  • Work closely with the National Secretary’s Personal Assistant and other key stakeholders to ensure the effective operation of the National Secretary’s Office, attend the Annual Central Conference and other required meetings, and ensure all relevant matters are communicated to the communications department.
  • Produce dashboards, trackers, and progress reports to enable forward planning and provide clear insight into progress and performance across National Secretary’s Office priorities.
  • Co‑ordinate delivery of the 7‑Point Plan, including:
    • Scheduling and co‑ordinating meetings
    • Ensuring relevant information and updates are gathered
    • Tracking progress across all work streams
    • Aligning 7‑Point Plan activity with National Board and organisational priorities
  • Provide appeals process support in the absence of the National Secretary’s Personal Assistant to the National and Deputy National Secretary.
  • Support cross‑team coordination.
Skills, Knowledge and Expertise Essential
  • Educated to degree level (or equivalent experience), and/or demonstrable relevant experience in a project coordination, executive support or programme delivery role.
