Your new role As a General Secretary, you will provide comprehensive secretarial and administrative support to a busy service area. Your responsibilities will include managing correspondence, maintaining accurate records, handling telephone enquiries, producing reports and documents, organising meetings, minute taking, diary management, and supporting wider administrative functions. You will act as a key point of contact for internal and external stakeholders, ensuring information is handled accurately, professionally, and confidentially.
Key duties include:
Providing high-quality secretarial and administrative support. Producing documents, reports and correspondence using Microsoft Office packages. Managing records and databases in line with organisational procedures. Handling incoming and outgoing communications and directing queries appropriately. Maintaining filing systems and supporting records management processes. Creating and maintaining spreadsheets and extracting data for reports. Supporting meeting administration, including scheduling, minute taking and distribution of minutes.
Assisting with appointment management and diary coordination where required. Providing administrative cover across teams during periods of absence. Building effective working relationships with colleagues, service users, and external organisations. What you'll need to succeed To be considered for this opportunity, you should meet one of the following criteria: 4 GCSEs at Grade C or above (or equivalent), including English Language, plus at least one year's administrative, clerical or secretarial experience;
OR An NVQ Level 2 in Administration (or equivalent) plus at least one year's relevant experience; OR A minimum of two years' administrative, clerical or secretarial experience. You will also have:
Strong keyboard, word processing and document formatting skills. Experience using Microsoft Word, Excel and Outlook. Excellent organisational and prioritisation skills. Strong communication skills with the ability to engage professionally with a range of stakeholders. The ability to work independently and as part of a team. A high level of accuracy and attention to detail. Knowledge of data protection and confidentiality requirements.
Experience using databases, filing systems or diary management systems would be advantageous.
